POSITION DESCRIPTION


POSITION TITLE:
Curriculum/Assessment Administrative Assistant


REPORTS TO:
Assistant Superintendent Curriculum/Assessment


POSITION SUMMARY:

Assists the assistant superintendent in the organization and maintaining of operational routines and a positive efficient working environment. Has primary responsibility for essential record keeping and generating reports, leaving the assistant superintendent to devote maximum attention to the central problems of education, its support systems and their administration.


ESSENTIAL FUNCTIONS/RESPONSIBILITIES:

  • Answer phone calls and provide assistance to District Office visitors/staff.
  • Manage requisitions and procurement process.
  • Prepare and mail parent notifications for English Language Learners
  • Prepare signature sheets for meetings and professional development events.
  • Prepare certificates of attendance for professional development events as needed.
  • Prepare time sheets for staff funded by grants.
  • Make travel arrangements as needed.
  • Prepare funds requests and submit.
  • Prepare stipend paperwork as needed.
  • Prepare reports from Infinite Campus as needed.
  • Generate expenditure reports and maintain accurate expenditure records.
  • Assist with preparation of annual financial reports.
  • Manage details of district, state and federal assessment process including:
    • Managing test booklets and materials and they are received and to be returned.
    • Manage student label process with buildings.
    • Organize records of student accommodations, etc.
    • Be familiar with all testing requirements and regulations.
    • Organize and deliver student and building test reports.
    • Manage online testing systems and secure documents.
  • Assist in preparing and managing budgets.
  • Schedule meetings in District calendar and secure rooms as appropriate.


KNOWLEDGE, SKILLS AND ABILITIES:

  • Interest in the education of youth in a public-school setting.
  • Proficiency in word processing, spread sheets and relevant computer skills as well as other modern office practices.
  • Demonstrate effective English communication in both oral and written form.
  • Demonstrate pleasant, patient, outgoing collegial interpersonal relationship skills.
  • Demonstrate initiative, organizational and time management skills.
  • Maintain confidentiality.


EDUCTION AND EXPERIENCE:

  • High School Diploma or Equivalent
  • Some general education beyond high school preferred.
  • Training in business/office education in high school or post-secondary preferred.
  • A minimum of two years’ successful office experience required.
  • Such alternatives to the above qualifications as the administration may find appropriate and acceptable.
