Morgan, Lewis & Bockius LLP, one of the world's leading global law firms with offices in strategic hubs of commerce, law, and government across North America, Asia, Europe, and the Middle East, is seeking to hire a Facilities Supervisor. The Facilities Supervisor is responsible for the efficient operation of the day-to-day facilities functions which may include, but is not limited to, oversight of the following: facilities and office maintenance, equipment/supply purchasing, mail and messenger services, duplicating services, facsimile services, catering, housekeeping, audio-visual needs, oversight of reception and secretarial support, finance, conference room coordination and set up and office moves. This position is also responsible for supervising, training, coordinating work assignments and establishing work schedules for the Office Services staff.
This position will reside in our Philadelphia office.
Key responsibilities of this position include:
Establishes work schedules and coordinates work assignments.
Oversees and coordinates all facilities service requests including but not limited to, purchase, delivery, storage and distribution of supplies, office space issues, case-, work- and file-rooms, furniture repair and replacement, key and lock repair and replacement, and repair and replacement of all non-Information Technology equipment and appliances (i.e. ice machines, water coolers, refrigerators, microwaves, etc.) and general repairs and maintenance of conditions throughout the office.
Maintains physical space at it relates to conference room and special event set ups.
Liaises with outside vendors and Morgan Lewis personnel to coordinate and supervise general and building maintenance services promptly with regard to housekeeping, heating, ventilation, air conditioning, carpeting, electrical, plumbing and furniture/fixtures.
Coordinates with office administration, architects, general contractors and subcontractors with regard to capital improvement projects.
Acts as primary liaison with building management, engineers, security and janitorial staff to ensure issues with office facilities are resolved in a timely manner.
Maintains, monitors and coordinates repair of office security system, including but not limited to, cardkey management, scheduling of Holidays, scheduling of doors, routine back up systems, cardkey readers, motion detectors and electronic door locks.
Acts as a liaison to supervise and coordinate office moves and space issues in collaboration with Practice Groups, Department Heads and Administration.
Reviews and submits invoices for vendor payments.
Oversee the receiving, sorting and delivery of all U.S. and interoffice mail and courier and messenger deliveries. Ensure mail/packages are delivered timely and efficiently.
Establish routine intraoffice mail runs.
Interacts with outside suppliers and vendors, including the U. S. Postal Service, overnight delivery services and local courier services to ensure quality service and to investigate and resolve problems.
Maintains, operates, stocks, cleans and adjusts copying and fax machines.
Replenishes paper, toner and other supplies and maintains usage records.
Assumes responsibility for office supply inventory, ordering and receiving; review invoices for accuracy, prepare expense forms and submit for approval in accordance with Firm procedures.
Work with vendors and building staff to coordinate general services for the office i.e. carpet cleaning, heating and cooling, electrical, etc. May participate in choosing vendors and evaluating supplies and services.
Work with office management on the purchase of office furniture and equipment.
Other projects as assigned.
Experience/Qualifications:
High School Diploma and a minimum of 5 years of experience with at least 1 year in a supervisory role or, equivalent combination of education and experience.
To perform this job successfully, an individual must have a basic knowledge of / be proficient in the following software:
