Responsibilities:
- Properly greet visitors and notify employees of guest arrival.
- Follow established procedures with regard to both expected and unexpected arrivals, coordinating with in-house security as appropriate. Addressing guests and clients by name whenever possible.
- Answer telephones in a friendly, professional manner, taking messages with accuracy and appropriately handling or referring questions and requests.
- Coordinate conference room calendars, including room assignments and reassignments as needed.
- Implementing established security policies and procedures with regard to arriving and departing visitors, contractors, delivery persons, etc.
- Executive Assistant to small Morgan Stanley business unit, including preparation of travel arrangements and processing expense reports.
- Communicating requests to the appropriate internal support departments such as, Facilities (heating and cooling issues), Information Technology (computer issues), Audio Visual technology (meeting room technical support), and mail room.
- Having a thorough understanding of the Firm's emergency procedures and being prepared to carry out designated tasks in the event of a fire or other emergency.
- Maintaining the appearance of the Reception area, where applicable keeping newspapers and periodicals in order.
Qualifications:
- Five years experience in a client service/Executive Assistant role, preferably in the Finance industry. A genuine sense of hospitality, with a commitment to delivering White Glove Service in all aspects of the Receptionist's job
- The ability to work in a fast-pace environment, prioritizing tasks and juggling many jobs simultaneously, while interacting with visitors in a public environment
- Excellent listening and oral communication skills
- Basic computer skills and knowledge of Microsoft Office. Concur experience preferred.
- Punctual, dependable and dedicated to achieving operational excellence, down to the smallest of details
- Discreet, ethical and committed to maintaining a high degree of confidentiality
Expected base pay rates for the role will be $60,000 and $105,000 per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
