Position Summary:
- Assist Administrator in resolving scheduling conflicts, managing calendar, sending correspondence, maintain updated telephone listing and directions for staff and clients.
- Work performed requires a high level of judgement and an understanding of the department's programs and staff relationships and responsible and varied administrative/secretarial work performed for an office or department head.
- Knowledge of Microsoft Suite products
Responsibilities:
- Maintains liaison with the Executive Office and Department of Administration on administrative matters
- Answer telephones in an appropriate fashion and refer calls to the proper staff and take messages when necessary.
- Greet visitors promptly and professionally and refer visitors to proper meeting rooms or to staff as required.
- Provide clerical and secretarial assistance to Administrator
- Notify staff of upcoming meetings.
- Maintain reception area in a neat and orderly fashion.
- Screens visitors, telephone calls and incoming mail, personally answering those inquiring which in the employee's judgment do not require the supervisor's attention.
- Scanning and maintaining categorized expenditures.
Qualifications:
- High School graduate or equivalent, in order to have mature reasoning ability required.
- Must possess a basic proficiency in English, spelling and math.
- Must be able to pay attention to details.
Job Skills:
- Ability to work independently, problem solves and makes decisions as necessary.
- Ability to positively interact with other personnel, Participants, family members, visitors, government agencies/personnel and the general public.
- Ability to lead groups and individuals in activities.
- Ability to perform basic computer and technology functions.
- Ability to move and spend time walking and on feet in this physically demanding job.
- Provide annual verification of negative TB skin test.
PERFORMS RELATED DUTIES:
1 Interacts with Participants, families, visitors and employees in a positive fashion.
2 Carries out other tasks as requested in situations where hands-on intervention/participation may be required.
3. Maintains confidentiality of participant information. (HIPAA)
4. Is able to complete job duties with or without reasonable accommodation.
5. Participates in facility ongoing inservice education.
