Motlow State is located in the beautiful rolling hills of middle Tennessee and has four campuses that serve students from eleven counties. General Function:
Provides comprehensive executive support to the President and serves as the primary point of contact for the Office of the President for leadership, faculty, staff, and the public. Serves as the project manager and daily coordinator for the Office of the President.
Minimum Qualifications:
Bachelor's Degree earned from a regionally accredited institution and at least three years of experience in increasingly responsible positions and/or equivalent combined relevant experience in business or higher education providing direct administrative support to a senior executive such as a CEO, CFO, CIO or equivalent and including budget oversight, demonstrated successful project management across multiple departments, and coordinating and facilitating executive team engagement.
Preferred Qualifications:
Master's Degree earned from a regionally accredited institution, PMP certification, and at least five years of experience in increasingly responsible positions and/or equivalent combined relevant experience in business or higher education providing direct administrative support to a senior executive such as a CEO, CFO, CIO or equivalent and including technical writing and editing, budget oversight, demonstrated successful project management across multiple departments, coordinating and facilitating executive team engagement, familiarity with Learning Management Systems, Student Management Systems, proficiency using both PC and Mac OS.
Major Duties and Responsibilities:
- Provides complex administrative support for the President related to calendar assistance, scheduling, arranging logistics, and coordinating travel to campus events, community events, meetings, seminars, conferences, and events. Creates and maintains minutes of meetings, correspondence, reports, and other records for appropriate committees. Represents the Office of the President, attends, and facilitates campus and community events as needed to support the College.
- Implements College initiatives according to best practices, industry standards, and organizational mission and policy. Serves as project manager as assigned by the President and serves as the primary point of contact for internal and external initiatives. In consultation with the President, promotes and coordinates service area planning activities and ensures that strategic planning is integrated with college budgeting and assessment cycles while providing staff support on behalf of the President.
- Monitors changes and trends in the external environment (regulatory, political, higher education, economic, etc.) and determines or notifies appropriate staff of resulting implications/needs relevant to the President for Institutional Effectiveness.
- Ensures continuous improvement of Presidential office operations, procedures, and direct services to increase effectiveness and efficiency of the systems and services.
- In consultation with the President, ensures compliance with state mandated and institutionally established performance measures and utilizes data for departmental improvement initiatives in the Office of the President.
- Oversees multiple budgets to include allocations, travel, disbursements, purchasing, receiving, product verification, inventory, disbursements of inventory, loan of inventory, risk management of inventory, account reconciliations, financial reports, and related communication with appropriate stakeholders.
- Orders and maintains necessary supplies and materials, interact with vendors, facilitate communications with internal and external stakeholders, creation, and maintenance of academic, personnel, recruiting, financial, and statistical records. Researches and develops deliverables to support the President. Compile, develop and prepare outgoing correspondence in both electronic and print format.
- Serves as content manager for President's web portal page, prepares updates and announcements for the site.
- Other duties as assigned.
Knowledge, Skills and Abilities:
- Knowledge and broad understanding of standard accounting procedures including budgets, estimates, price quotes, purchasing, and account reconciliation.
- Collaborate and communicate effectively, both in writing and verbally, with College, State, and elected officials, fellow employees, and other stakeholders on matters pertinent to the college. Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and constituencies in a diverse community. Knowledge of confidentiality statutes and policies as they apply to FERPA and other institution programs.
- Ability to prioritize and work on multiple and diverse projects.
- Ability to work effectively as a leader or member of a cross-functional team, to manage time and resources, to prioritize, focus and shift focus as needed and to effectively and efficiently fulfill assigned duties to foster teamwork.

- Strong computer skills including proficiency with Microsoft Office Suite. Ability to learn additional institution and division specific software platforms.
- Knowledge of Motlow and TBR policies and procedures.
- Designs and delivers training as directed by the President.
- Ability to develop, maintain, and enhance relationships on behalf of the Office of the President.
- Establishes and ensures implementation of proper protocol for official interaction with the TBR senior staff, TBR members, government officials, community leaders, and other dignitaries.
- Consults with the Senior Staff on various issues needing the President's approval.
- Knowledge of and ability to utilize social media platforms, design software such as Canva, database management with specific Microsoft office suite experience.
- Knowledge/Familiarity with Machine Learning, Augmented Reality, Artificial Intelligence, Virtual Reality, Coding, Education Mobile Technologies, and/or Emerging Technologies
- Demonstrate successful capacity to develop, foster, and maintain effective working relationships with diverse individuals reflecting a broad range of identities, perspectives and experiences in a variety of settings.
