Director, Resource Management

OVERVIEW
Your position will play a pivotal role in managing our team's allocations, and helping our agency scale and pivot to meet the needs of our clients. You will develop a strong understanding of our departments’ talents and skills, how best to staff our teams, and help achieve our broader agency goals for growth.
You will report to the Chief Operations Officer, work hand in hand with the Associate/Director of Operations, and develop strong partnerships with each department lead. While you’ll be a supportive role to all teams, we’ll look to you to really help provide proactive and definitive recommendations on how to best resource and staff for our work.
Movement Strategy is an independent social media agency. Now at its 14-year, with 130 employees across offices, we produce groundbreaking content for partners including Amazon, Netflix, Adult Swim/Turner, Warner Bros, FOX, Intuit, Klarna, and more. YOUR ROLE
You’ll be seen as a key decision-maker and trusted partner to help advise on all of our staffing decisions, needs, and opportunities. Your core responsibility is to lead the vision, team-building, and logistics of all resource management across the agency. Whether it’s providing solutions for short-term coverage across teams, or sharing proactive team recommendations to staff new business – your passion is providing solutions via resource efficiencies. Your goals center around:
- Efficiency – resource solutions that factor in current/future capacity, representative of historical trends and also future-projected scenarios.
- Speed-to-staff – this is less about arbitrary goals, and more about ensuring all teams have the right levels of staff to provide their best work, and prevent burnout.
- Talent accuracy – with all resource management, your relationship building with teams allows you to provide the best talent recommendations based on roles/needs.
You’ll work closely with leadership teams to define processes and identify opportunities for increasing efficiencies and utilization of our staff.
Detail day-to-day responsibilities
- Develop, manage and execute on the vision for resource management at our agency
- Provide proven processes, ways-of-working and methodology for efficient RM
- Bring creative solutions to improve staffing processes and work with leadership and recruiting to define/evolve processes where required
- Lead the growth and development of a future RM team (personnel, tools, etc.)
- Management of all RM data, reporting & metric performance
- Upkeep of capacity / allocations within RM tools (i.e. MavenLink)
- Drafting and distribution of staffing-metrics reports (Capacity, Utilization, Burns, etc.)
- Upholding of key staffing metrics goals (w/ Director or Operations/COO)
- Review and advise on staff plan allocations, scopes, and forecasts and new hires
- Collaboration with PMs/Biz leads on staff plan allocations and recommendations
- Identifying existing staff new hires to transition from staff plans to actual teams
- Strong partnership w/ new biz TA teams to forecast and plan for upcoming growth
- Maintain close partnership with all department leads
- Establish keen understanding of all departments services, talents, challenges/opps
- Educate leads on importance of resource management & agency RM goals/metrics
- Identify appropriate staffing and project opportunities
- Provide critical support to Partner/C-suite level
- Ensure everyone is advised on staffing challenges and pain points across the agency
- Review staffing metrics performance reports and provide recommendations
- Manage allocations/capacity across all staff (using Agency resourcing tools)
- Resolve staffing challenges across agency based on business and agency goals
- Identify the need for freelance and staff hires where/when needed
REQUIREMENTS
- 10 years of experience in advertising (background: resourcing, PM or operations)
- PM and resource management accreditations or classes are a plus!
- Ability to read and understand agency staffing plans / staff allocations
- Knowledge and experience using resource management tools, like:
- Mavenlink (ideal)
- Harvest/Forecast
- Workamajig
- Asana
- Confidence and comfort in providing definitive resource solutions & recommendations
- Ease with communicating and working directly with department heads/leadership
- Excellent written and verbal skills in general
- Accountable with your work and responsibilities
