MoveOn's Chief of Staff supports the Executive Director to develop and execute her vision for the organization. Reporting directly to the Executive Director, the Chief of Staff manages the organization-wide internal processes, systems and protocols, as well as supports and guides the senior management team in its efforts to manage the work, maximize productivity and efficiency, and maintain strong organizational culture.

The COS is a senior leader within MoveOn. This includes operating as one of the chief problem-solvers in the organization, a key team-builder of the senior management, an excellent internal organizer, and a project manager. 

This role is a member of and manages the Executive Office which includes the Director of People and Organizational Development and the Director of Executive Operations and Organizational Culture.

Duties and Responsibilities:

  • Support the Executive Director 
    • Manage the Executive Director’s portfolio, develop and drive a clear vision for the organization, provide regular and helpful guidance and direction to the MoveOn team, make key top-line decisions and implement those decisions within the organization.
    • Manage and support MoveOn’s C4, PAC and C3 boards - ensuring we are keeping the boards abreast of top-line programmatic updates, scheduling and executing board business matters, and supporting relationship building between board members and the Executive Director. 
    • Act as a surrogate for the ED as needed with key external stakeholders (e.g. partners, the press, donors, etc)
    • Serve as the operating ED when the ED is out
  • Supporting and build the Senior Management Team
    • In partnership with the Executive Director, organize and support the Senior Management Team so they work collaboratively and effectively to manage the organization as a whole. This includes facilitating regular meetings, convenings, information sharing, systems, protocols, etc. 
    • Develop and facilitate practices to ensure the Senior Management Team, Department Chiefs and the Executive Team are aligned, working collaboratively and effectively managing the people and the work of the organization. 
  • Supporting the Organization
    • At the direction of the Executive Director, oversee cross-functional, organization-wide projects and initiatives - including but not limited to organization-wide annual planning processes, annual budget processes, staff communication systems, performance evaluation processes, staff resourcing plans and other projects as assigned. 
    • Serve as a thought partner and sounding board to the Executive Director, other senior leaders and a resource for all staff to voice ideas, suggestions and/or concerns.
    • Organize convenings of and communications between senior staff and cross-org bodies to ensure strong internal coordination and alignment, surface questions and concerns; ensure that we have the right makeup of cross-organizational bodies, with an eye toward equity and inclusion. 
    • Refine and maintain internal communication processes, systems, and norms to ensure that staff have the information they need and have clear ways of providing feedback into organizational decisions, and work is managed and executed transparently.

Supporting the Executive Office

  • Manage and support the Executive Office team to ensure it is in alignment with the Executive Director and the Senior Management Team. 
    • Design and facilitate regular planning practices that ensure the Executive Director is briefed on weekly and daily priorities. 
    • Supervise and support the Director of Executive Operations and Organizational Culture to ensure the ED’s time aligns with priorities, support their leadership of all-staff retreats and convenings, and more. 
    • Supervise and support the Director of People and Organizational Development to ensure that Human Resources and Organizational Development (HROD) strategies, systems, policies, and processes are aligned with MoveOn’s mission, culture and values. 

Job Requirements

  • 10 years of leadership and management experience in similar organizations and/or political or advocacy campaigns, at least 5 years in senior leadership roles. 
  • 5 years of experience in people and project management and building organizational infrastructure, with a track record of creating and implementing systems and processes that are linked together to support people in achieving their goals. 
  • Experience running large campaigns or projects required. 
  • Experience leading cross-functional and cross-org teams, bringing people together to drive results. Strong relationship and team building skills. 
  • Low-ego, high emotional literacy, highly self-aware, and strong listening skills are a must. Able to hold composure and manage people during stressful or challenging situations. 
  • Excellent verbal and written communication skills.
  • Systems thinking and sound political judgment required. 
  • Designing and running meetings that support healthy dialogue and drive resolution. 
  • Ability to manage conflict and hold neutrality and/or objectivity. 
  • Inclusive, consultative decision-maker with demonstrated commitment to listening to team members and changing course when needed based on feedback.
  • Has a substantial and nuanced understanding of power as it relates to the United States political process and systems and the progressive movement.
  • Strong problem solving skills. 

Reports to: Executive Director

Location: Position may be based anywhere in the contiguous United States. May require occasional travel.  

Salary and Benefits: At MoveOn, we commit to equity in our compensation philosophy and practices. We are committed to equal pay for equal work. To counter systemic compensation issues in this country and pay inequality, we have a nonnegotiable compensation practice. We utilize benchmarking and peer organization data to ensure we provide competitive nonprofit compensation and benefits. The annual salary for this position is $190,000. In addition to the base salary, we offer a monthly home office subsidy.  We also offer an internet and phone subsidy of $2,100 annually and a health and wellness subsidy of $900 annually. All of these cash benefits are added to your bimonthly paycheck. We offer strong medical, dental, and vision benefits, which are free to employees and children of employees (spouses or domestic partners can be added at a subsidized rate). We offer employer-paid premiums for life insurance; four weeks accrued paid vacation time per year, prorated for the period that you work; 18 weeks of paid parental leave (birth, adoption, foster care placement of a child), 10 days accrued paid sick time prorated for the period that you work; paid family medical leave; and 8 staff holidays and 6 floating holidays. We contribute 5% to your 401(k) after six months of employment. We also offer a $1000 in professional development budget each year for each staff member.
