The Contract Review Specialist is responsible for a wide variety of procurement and contracting duties including reviewing and drafting contracts, orders, work requests and inter-agency agreements; preparing bidding documents and conducting bidding processes; ensuring all legal, insurance and bonding requirements are met prior to contract execution; preparing reports; recording documents; maintaining the contract log and filing system; and working with project managers to administer active contracts. The position also manages the Agency’s records.
The position requires demonstrated skill in procurement and contracting for formal and informal bidding processes and proven experience in all phases of the contracts lifecycle. The Contracts Review Specialist works independently on assigned contracting tasks with general guidance from the management.
Duties Include
Ensure customer purchase orders/contracts reflect the company’s quote against the purchase order.
Review incoming customer contracts and identify material, quality, testing, and other requirements.
Work with sales and engineering staff and/or the customer to reconcile any differences.
Ensure that the referenced revisions of customer documentation, drawings, related specifications, and quality requirements on the customer contract are on file at the company, and approved by the appropriate company authority (Engineer, Sales Manager, Quality Manager).
Reconcile any situations where the company does not have the correct revision of the documents.
Review all customer’s Terms and Conditions of Purchase and identify all conflicts with the Terms and Conditions of Sale. Work to resolve conflicts.
Identify when a contract needs additional review by engineering staff, management, and/or legal. Follow that review until completion.
Maintain and continually update a Contract Review Log indicating the status of all customer clauses, drawings, specifications, and requirements that have been reviewed.
Initiate the process to retain new or revised customer requirements appropriately.
Assist with other sales or administrative duties as assigned by the Sales Manager.
Perform any other duties or functions as assigned by management.
Exhibit a demonstrated ability to communicate effectively, with a focus on the written word.
Have a familiarity with MS Outlook, MS Word, MS Excel, and other common office applications.
Display an understanding of basic office functions.
Demonstrate solid time management and organizational skills.
Prior corporate sales experience helpful.
A college degree or prior military service preferred.
