POSITION OVERVIEW:
The Marketing Coordinator provides support to the Marketing Manager and other staff on a variety of marketing, and proposal projects.
ESSENTIAL FUNCTIONS:
Proposal Generation
- Coordinate the proposal process including GO/NO GO process and preparation proposals.
- Coordinate with staff and clients to prepare and complete proposal submission documents.
- Develop project sheets, outlining brief descriptions of signature projects, for use in proposals.
- Create qualification packages, submission materials, complete forms, and maintain agency solicitation and document portals.
- Provide proposal and marketing information for Principal and Associate meetings.
- Maintain project photos used in website and project sheets
- Maintain and generate lists for direct mailing from client and contractor database
- Assist in creating templates for various documents (such as proposals, reports, letterhead, flyers, brochures)
Databases
Maintain MRCE Client Database including all updates and additions from new jobs and proposals
Update Project Database including tracking of:
- Client and Owner References
- Construction Costs
- Start and Completion Dates
- Staff working on project
- Descriptive text and project categorization
Update Personnel database information on existing and new staff:
- Tracking of Organizations and Professional Committees for Partners/staff
- Maintaining record of Principal/staff articles
- Maintaining data engineering licensure for firm and the engineers.
General Marketing, PR, Social Media Support
- Track opportunities for award submissions and coordinate preparation of submissions with input from staff.
- Execute internal and external marketing and branding initiatives (for example, lobby screen, email and social media postings and announcements, end of year staff presentation).
- Assist in updates of marketing, corporate identity, and proposal collateral materials as needed (such as brochures, profiles, project sheets, staff resumes, business cards, forms, and trade show and career fair exhibits), ensuring the latest materials are always available when and where needed.
- Directing inquiries through our website “Contact Us” form and incoming calls to Marketing Manager for proper direction or response.
- Create and post Social Media Postings on the firm, interesting events, firm services, firm personnel (promotions, projects, etc.), and other topics on company pages (such as LinkedIn) and assist with drafting and sending email announcements via Constant Contact.
- Assist in article writing, formatting, and placement in publications.
- Track and coordinate company and personnel entries into contests and engineering award competitions.
- Maintain files of published Articles by staff.
- Maintain calendar and attendance of office seminars.
- Maintain calendar of upcoming conferences and seminars where personnel can place papers or make presentations.
- Handle company mailings such as party invitations, announcements, press releases, new brochures, and holiday cards. Coordinate updates to database required prior to these mailings.
- Assist in working with graphic designers, writers, and photographers as needed for specific projects or publications.
Events Support
- Coordinate company and marketing events and launches.
- Coordinate technical talks or presentations within the company
- Track and coordinate event and conference participation; follow technical conference opportunities and track MRCE technical presentations and webinars.
- Support technical staff, marketing and business development needs; review documents prepared by others for typos, optimal language, and accuracy.
- Assist in coordination of in-office events and professional events (conferences, career fairs, seminars)
- Assist with company projects such as branded clothing catalogue, holiday party and social events.
REQUIRED QUALIFICATIONS:
- Education: Bachelor’s degree in Marketing, Communications, English or related field
- Experience: Preferred candidates will have:
- 2-4 years’ experience in the Architecture, Engineering, or Construction (AEC) field or related field.
- Some basic knowledge of marketing procedures, campaigns, and tools.
- Some experience working with proposals.
- Adobe Suites (Photoshop, InDesign, Lightroom, etc) experience.
- Some graphic design experience preferred.
- Experience working in database tools (such as Unanet, Sales Force or FileMaker)
- Very strong writing abilities.
- Strong Microsoft office skills, particularly in use of Microsoft Word, PPT, and Excel
- Great communication skills (written and verbal) with the ability to interact and collaborate effectively with all types of personalities.
- A positive attitude, enthusiasm and are a motivated self-starter.
- Great multitasking and time management skills, are responsive to fast-paced environments, have a good team-oriented work ethic, and the ability to self-manage project assignments from start to finish with minimal oversight and under tight deadlines.
SUPERVISION RECEIVED:
- Reports directly to the Marketing Manager
SCHEDULING REQUIREMENTS
- Be available to work evenings and weekends to meet work or event demands
WORKPLACE LOCATION REQUIREMENTS
- Requires daily in-office presence

- Possibility of travel, locally by car or public transportation.
