MTech Mechanical is a leading mechanical design/build contractor in Colorado, and the majority of our project procurement is negotiated in a design assist/build arrangement. As a Project Coordinator you will wake up every morning with the ability to support and coordinate administrative functions from procurement to job close out. Your attention to detail will be welcomed as you monitor and document project status and communicate these updates with your Project Engineers, Project Managers & Field Managers. This position offers the opportunity to gain extensive administration and job cost accounting experience with an emphasis on accounts receivable, working with paperwork distribution, contracts, insurance, agreements, tax audits, tax exemptions, and assisting administration in the start up to close out of construction projects. 
 
A successful candidate will be responsible for the following:
  • Build relationships with the project team (both in house and with outside partners) and maintain ongoing communication related to the project, respond to inquiries, seek information to ensure the smooth administration of each job.
  • Obtain necessary permits and/or schedule inspections.
  • Obtain required insurance certificates and bonds.
  • Prepare turnover documents for field managers per Project Engineer direction.
  • File all contract and subcontract documents.
  • Obtain tax exempt certificates as required.
  • Maintain and file all required forms for various jurisdictions.
  • Keep project manager, project engineer and field managers up to date with weekly job cost reports.
  • Prepare weekly A/R Aging and Service reports for Project Engineers and Project Managers. 
  • Prepare monthly billings, lien releases and required paperwork for the billing process.  Enter invoices in accounting system in the correct fiscal period.  Track payments and make collection calls within 45 days of issuance of invoice.
  • Calculate labor incentives on projects per direction from the Project Engineers.
  • Prepare close out documents including obtaining O&M manuals from vendors and subcontractors.  Preparing the warranty statement.  Assemble electronically or hard copy and submit to our customer and service by the required due dates.  Collect As-Built information from all necessary parties.
  • Close jobs in accounting system as required.
  • Manage the contractor license log to ensure our licenses do not expire in each jurisdiction.
  • All clerical duties, correspondence, typing, filing, deliveries, mailing and copying.
  • Regular and predictable attendance is expected in order to meet the requirements of this position.
  • Other duties as assigned.
 
Qualified candidates will possess the following education and experience:
  • High School diploma or equivalency required.
  • Prior experience in role assisting with project management or field leadership preferred.
  • Positive attitude and proactive approach to supporting operations teams.
  • Excellent communication skills and ability to work with diverse groups of people.
  • Working knowledge of personal computers, Microsoft Windows and Word, Excel and Outlook. 
  • Working knowledge of architectural, mechanical and plumbing drawings preferred.
  • HVAC & Plumbing system knowledge a plus.
