Primary Function: The job of Administrative Assistant II is done for the purpose/s of providing varied and responsible office and secretarial work for an administrator and staff at the department level. The class consists of positions serving as the primary office support for administrators at the department level or equivalent. The position may involve account maintenance including purchase orders, invoices, and fiscal reports and monitoring of fiscal activities. Position deals with non-routine matters requiring research, investigation or analysis, and knowledge of departmental issues. The work requires an understanding of system wide, departmental and divisional organization and of applicable Board policies affecting departmental operations.

ESSENTIAL DUTIES:
1. |
Demonstrates prompt and regular attendance. |
2. |
Answers inquiries regarding programs and services and/or explaining requirements (e.g. completing forms and/or providing instructions regarding actions needed; resolves routine and/or emergency incidents; operate and use traffic management systems, etc.) for the purpose of assisting callers/visitors and providing customer service. |

Assists in budget preparation and research (e.g. maintain and reconcile budget accounts for department/division, etc.) for the purpose of preparing special reports. |
4. |
Assists with processing of documents, forms, mailings and materials (e.g. attendance, enrollments, etc.) for the purpose of disseminating information to appropriate parties. |
5. |
Distributes mail, supplies, messages, keys, etc. for the purpose of disseminating materials to appropriate parties. |
6. |
Performs record keeping and clerical functions some of which are non-routine requiring research, investigation or analysis, and knowledge of departmental issues (e.g. assembling data for meetings; processing documents for managing student registration; record keeping of police investigations, etc.) for the purpose of supporting assigned administrator and/or site personnel. |
7. |
Prepares written materials (e.g. reports, memos, letters, work orders, meeting notification, announcements, log keeping, hazard warnings, communication transmissions, etc.) for the purpose of conveying information regarding school and/or district activities and procedures. |
8. |
Reviews and/or processes payroll time sheets for department/division (e.g. department staff payroll, special functions, etc.) for the purpose of ensuring accurate and timely compensation. |
9. |
Supports assigned administrative personnel (e.g. keeps calendars, accepts and commits administrators and/or staff to appointments; makes travel arrangements; attends meetings and takes meeting minutes; initiates actions to keep administrator and staff informed of department and school system operations; researches, compiles, creates and distributes reports to administrator and staff or other stakeholders, etc.) for the purpose of providing assistance with administrative functions. |

Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the work unit. |
