SECRETARY III
BASIC FUNCTION
Under limited supervision of an assigned supervisor(s), independently selects and performs a variety of complex and specialized secretarial, accounting and clerical duties of moderate difficulty requiring comprehensive knowledge of the policies, procedures, regulations and methods of the assigned area/program.
REPRESENTATIVE DUTIES
ESSENTIAL FUNCTIONS:
Independently implements designated processes and services related to the function of the office or department; provides factual information using independent and good judgment regarding regulations, policies and procedures to parents, public and staff; informs supervisor(s) of pertinent information from community and staff inquiries.
Independently researches, composes and types department correspondence, memoranda, reports, proposals, statistical data, lists, bulletins, forms and specialized documents; composes and types confidential and technical reports, instructional materials, memoranda and other materials from straight copy or rough draft; performs a variety of clerical and secretarial work, such as standard and statistical typing, proofreading and/or verifying for accuracy, filing, posting information on records and compiling information for reports and summaries.
Operates a computer terminal with varied and advanced skills in word processing, spreadsheets, database operations and technical software; may provide training to others in the use of software and the specialized application of various types of computer programs; operates other related office equipment, such as a typewriter, adding machine and photocopy machine.
Schedules appointments and meetings for supervisor(s), department(s) and/or school site facility /facilities; answers the telephone, waits on public counters, and performs routine receptionist duties; regularly assists and works with students, employees and the public; receives, sorts and distributes mail.
SECRETARY III
Independently organizes and maintains a variety of files and records; personally collects required information for specialized programs and/or department needs; assembles, organizes, and prepares a variety of files, reports and summaries requiring a high degree of good judgment, knowledge and understanding of the
protocols of a department and/or school site; establishes and maintains numerical, alphabetical and subject matter files which may contain highly sensitive and privileged materials.
Independently compiles data and makes computations in maintaining departmental financial records, modifies and/or devises forms for reporting data; checks forms for completeness and accuracy; independently obtains and gives information as necessary for reporting data.
May attend group meetings and/or transcribe and edit minutes of the meetings; may take and transcribe dictation of letters, reports, bulletins and memoranda, including materials of confidential nature.
Independently prepares and processes forms and documents relating to departmental expenditures; posts and maintains a variety of files, records and information for specialized or departmental programs; may assist in the preparation and maintaining of departmental or school site budgets, records and information; may make travel arrangements and prepare expense claims.
Organizes, directs and instructs student assistants in the performance of clerical and office duties; provides information to students on a broad range of subjects.
Assists in the preparation of student enrollment and attendance records; audits, corrects and updates data processing of student and departmental records.
OTHER DUTIES:
Perform related duties similar to the above in scope and function as assigned.
MINIMUM QUALIFICATIONS
KNOWLEDGE OF:
Computer terminal and/or word processing operation techniques with advance knowledge and skills in word processing, spreadsheets, database operations and technical software.
Modern office methods and equipment, including the preparation of business correspondence, filing, standard office equipment operations, grammar, spelling, forms, proofreading, receptionist techniques and telephone etiquette.
Correct business English usage, vocabulary, spelling, grammar and punctuation.
Mathematical calculations.
Techniques of gathering information and of abstracting reports.

Rules, regulations, policies and procedures of the assigned work area.
Appropriate record keeping techniques.
Organization and coordination of responsible clerical and secretarial functions.

EDUCATION AND EXPERIENCE
Seven years of increased responsible clerical experience at or equivalent to the level of Secretary II in the Moorpark Unified School District; wherein, the incumbent has acquired the knowledge, abilities and experience in performing highly specialized, complex and difficult clerical and secretarial work involving functional responsibility for the records for a major program or department.
SECRETARY III
LICENSES AND OTHER REQUIREMENTS
Some positions in this class may be required to translate oral and written communications between English and a designated second language.
Some positions in this classification may require First Aid and CPR certification issued by an authorized agency. Employees must fulfill requirements within six months of employment in a regular position.
PHYSICAL DEMANDS AND WORKING CONDITIONS
Office environment with constant interruptions.

Mental acuity to interpret and implement policies, procedures and regulations relating to the assigned department or school site; to manage routine office procedures related to the assigned office and make routine determinations relative to the effective performance of assigned duties.

Hear and speak to exchange information in person and on the telephone.
Dexterity of hands and fingers to operate a computer keyboard.
Physical agility to lift up to 10 pounds to shoulder height, and up to 25 pounds to waist height; and bending at the waist, kneeling, crouching or stooping to file
materials, as well as working and reaching overhead.
