Position Summary
Reporting into the Senior Director of Exhibitions and working closely with the Exhibitions team, the Exhibitions Associate provides essential administrative support, scheduling, planning, and execution of exhibitions related projects.
Key Responsibilities
Following museum practices coordinate key administrative initiatives for the department, including exhibition scheduling, maintaining cross-departmental calendars, meetings, etc.
Coordinate with departments across the museum to synchronize the exhibition calendar with gallery rotations, renovations, loans, and events–in partnership with Project Managers and colleagues in Registration, Facilities, and Development.
Facilitate regular meetings to discuss medium and long-term cross-departmental scheduling and allocation of resources–in coordination with Project Management and relevant Department Heads. Schedule meetings, maintain detailed tracking documents, create agendas, circulate minutes, and follow-up on next steps.
Schedule virtual and in-person meetings on behalf of the Senior Director of Exhibitions and Exhibitions Department, including those with external partners.
Work closely with the Senior Director of Exhibitions and Director of Collections Partnership to monitor and maintain the two departmental operational budgets throughout the year; including processing travel authorization forms, billing and invoice tracking, requests for payments, corporate credit card reconciliation, and general record keeping.
Oversee the general maintenance of the departmental intranet site; acts as liaison for MFA website to update content monthly.
Coordinate exhibition related staff travel and reimbursement, when appropriate.
Aid Senior Director of Exhibitions in managing the exhibition approval process. Track progress of all exhibitions through process.
Track, circulate, and respond to external exhibition proposals–including input of data to Client Relationship Management platform.
Arrange quarterly meetings with each curatorial department including scheduling, compiling agenda items, tracking proposal data, and assembling recommendations.
Assist in documentation and data-input to The Museum System (TMS).
If applicable, act as courier for loans from the collection.
Complete additional projects as assigned by Project Manager, Exhibitions Program Specialist, Director of Collections Partnership or Senior Director of Exhibitions.
Qualifications And Experience
Minimum of 2 years work experience, preferably in an arts organization/museum or other related office environment.
Degree in Art History, Museum Studies, or a comparable field.
Independent and self-directed.
Excellent planning, time management, and follow-through skills.
Outstanding organizational and communication skills.
Exhibited quantitative skills to manage and track budgets.
Proven ability to execute individual projects while simultaneously contributing to or leading other team projects.
Capacity to collaborate generously and perform diplomatically.
Comfortable working in a fast paced environment without compromising high standards.
Skilled in handling confidential information with care and discretion.
Excellent computer skills with strong command of Microsoft programs; The Museum System (TMS) preferred.
Salary Range
Full-time Salary, 35 hours per week
Starting Salary: $50,582 - $61,947
