Position Description for Property Manager
Job Summary: The Property Manager position is responsible for the overall supervision of maintenance and operating functions including but not limited to the overall maintenance/operations of all residential and commercial units within the portfolio.
Essential Duties and Responsibilities: Include the following but are not limited to the job specifications contained herein. Additional duties or job functions that can be performed safely may be required as deemed necessary by supervisory personnel.

Reports to: Vice President of Operations
Supervises: Maintenance Techs, Porters, 3rd Party Vendors
Requirements:
· Bachelors degree preferred
· 5 years of property management/ maintenance supervisory experience
· Excellent verbal and written communication skills
· Strong attention to detail and accuracy
· Exceptional time management skills and the ability to meet tight deadlines
· AppFolio experience preferred but not required
· Excellent analytical and investigational skills
· Experience in planning maintenance operations
· Ability to track and report on activity
· Ability to work in a high stress environment
· Strong and swift decision making abilities
Position Responsibilities:
· Maintain positive tenant relations, address maintenance and complaints, and assist with turnover.
· Handle complaints and emergencies. Manage maintenance requests, complaints, and delegation of emergency calls.
· Supervision of move ins including walk-throughs to assess condition of unit prior to the tenant taking possession.
· Supervision of move outs including unit inspections the unit, assessing damages, and determining security deposit deductions.
· Responsible for the physical management of the properties including regular maintenance, emergency repairs, maintenance scheduling, price negotiations with vendors and contractors, and quickly resolving emergency maintenance issues.
· Responsible for regular preventative maintenance. Maintaining current tenant satisfaction and compliance with rental property laws and housing standards.
· Vendor and technician management. Delegation and task assignment responsibilities, on a case by case basis. Maintain strict time efficiency standards for the maintenance technicians.
· Strong knowledge of statewide and national laws regarding the proper ways to comply with property safety and standards, health and safety practices, and lead-free management.
· Maintain thorough records including work orders/maintenance requests, timesheet, expenses, inspections repairs, PHA inspections, complaints
· Hiring maintenance staff and management of all HR functions for the department. Monitoring and tying back timesheets to work orders. Submitting payroll to accounting for processing on a biweekly basis.
· Create processes and procedures to ensure all functions of the maintenance department are efficient and cost effective.
· Maintaining good relationships with contractors and service providers.
· Work with property owners on capital improvement projects to provide scope and pricing.
· Oversee work order management through our property management system.
· Ensure all maintenance activities are effectively communicated to necessary channels, both internally and with outside parties.
· Provide leasing and accounting departments with updates on a regular basis.
· Monitor expenses and work with the CEO with respect to budgeting, forecasting, and reporting.
· Cost reduction and maximization of maintenance department profit.
· Work order management and mark up submissions.
Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Mathematical Skills: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages.
Reasoning Ability: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
