The Fleet Administrator is to provide administrative support to the organization. Must have excellent communication skills, be diligent and extremely detail-oriented, well organized, possess proficient computer skills, and work well in a fast-paced deadline-driven environment.

The Fleet Administrator will oversee operational, performance and overall roadworthiness standards of the NPP fleet of approximately 350 vehicles, while ensuring the operations team has sufficient operational and spare vehicles to support budgeted and/or acquired cleaning and repair routes across NPP branches in three states.

The Fleet Administrator will support and have the support of the VP, local branch representatives, and NPP fleet partners (Enterprise, Wex, Azuga, Truce) to accomplish objectives. The objectives can be successfully and continuously accomplished through the application of 15-40 hours a week across analysis, coordination and communication originating out of NPP Corporate Office in Tampa, FL and corresponding to branch relations, fleet partners and various reporting tools. Applied hours will vary based on cyclical and random variables influencing vehicle roadworthiness by branch and region. The Fleet Administrator is a key employee and must ensure fleet related tasks are carried out in an appropriate, compliant and cost-effective manner.

After a period of acclimation and mastery of fleet administration, the Fleet Administrator will benefit from cross-training in other functions including purchasing and light financial analysis, or other operational areas of interest in support of centralized asset management.

Duties/Responsibilities:

  • Manage the day-to-day management of the NPP fleet process, such as coordinating fuel card issuance and use, coordinating and monitoring use of tracking and communication devices, reviewing participation activity in Enterprise maintenance plans, coordinating vehicle registration renewals, and centralizing and tracking vehicle titles.
  • Ability to maintain accurate and up-to-date records of fleet activities.
  • Assist VP with fleet insurance claims.
  • Coordinate vehicle dispositions with Enterprise.
  • Respond to inbound inquiries by providing information about fleet vehicles.
  • Consolidate data from multiple systems and resources.
  • Interpret and summarize high volumes of data.
  • Provide custom and ad hoc reporting.
  • Perform routine office administrator tasks, such as coordinating mail, FedEx shipping, office messaging, record organization and storage associated but not limited to fleet activity.
  • Assist with the implementation of a purchasing system with coordinating a three-way match of PO, invoice and receipt for the accounts payable team.
  • Travel to various regions to support branches, less than 10% regional travel; may include overnight stay.
  • Performs other related duties as assigned.

Education, Licensure and Experience Requirements:

  • High School degree required, Bachelors degree preferred.
  • 2-3 years experience with fleet administration preferred.
  • 1-2 years of accounts payable experience preferred.

  • Strong Proficiency in all Microsoft Office applications (ie: Outlook Email, Word, Excel, Teams).

Compensation – This hourly position is paid weekly. Starting pay will depend on experience. Starting $21.00/hour.
