Job Summary: 

The position shall coordinate scheduling with outlining health clinics and provide transportation to those clinics. BUIHWC operates within a collaborative care model which is primarily team based and integrated, and part of the integration model is working with other Native American health clinics. The Transit Scheduling Coordinator will encompass scheduling duties as well as drive passenger vans to transport patients on a planned or scheduled basis.  

 

Essential Duties and Responsibilities and Expectations: 

  • Must coordinate the daily administrative activities, including scheduling, patient check-in and check-out.  
  • Must be able to obtain medical records, test results and other information while maintaining strict confidentiality.  
  • Communicate with clinics by telephone or electronic communication to exchange information and receive requests for passenger service. 
  • Comply with traffic regulations to operate vehicles in a safe and courteous manner. 
  • Operate vehicles with specialized equipment, such as wheelchair lifts, to transport and secure passengers with special needs. 
  • Meticulous reporting of passengers, trips, hours, mileage. 
  • As part of a team, delivers compassionate, supportive care, attention, and assistance to patients and families with a trauma lens approach.  
  • Must ensure compliance with all health care regulations, including HIPAA, OSHA, and CFR Part 2. 
  • Report vehicle maintenance issues and accidents appropriately and timely. 

 

Interpersonal Relationships 

This position requires contact with the patients and their families who present daily for primary medical care in the clinic. Is in daily contact with BUIHWC Staff. Usual daily contact with Health Administrator, RN’s, Social Workers, LCSW’s, LAC’s, Medical Doctors/providers, patient representatives and patients.  Also, they may work in the patient’s home as part of FQHC. 

 

Minimum Qualifications (Experience/Education): 

 

  • High school diploma or equivalent is required. 
  • An exceptional driving record is required. 
  • Experience with scheduling is desired. 

 

CERTIFICATES, LICENSES, REGISTRATIONS 

  • Must have a valid Montana State driver’s license  
  • Maintains proper licensure/certification and registration  

 

SPECIAL REQUIREMENTS 

  • Must meet all annual training and system requirements to maintain access to the required computer systems. 
  • Must participate in and support HIPPA (Health Insurance Portability & Accountability Act) training as needed and required 
  • Must adhere to NADC-BUIWHC policies regarding professional conduct. 
  • Must pass a background check  

 

Competencies or Knowledge, Skills, and Abilities (KSA’s): 

  • Must have knowledge of computer technology, medical terminology and be able to generate clinical documentation according to scope of work; functions of health record management; and patient care concepts.  
  • Position must demonstrate skills in communicating both orally and in writing.
  • Skills must include a general understanding of Primary Care Clinic/FQHC operations to better help patients, families and staff who utilize resources to meet their health care needs.
  • Must be able to deal with the public; check in patients. Must be dependable, be part of a team, and on time for work.
  • Must have a high attention to detail with frequent deadlines, as well have internal and external social interaction. 
  • Incumbent must be able to perform computer, data entry and word processing-related tasks for most of the workday as required. 
  • Candidate must work with a variety of disciplines and assist with patient management within BUIHWC.
  • Must be able to greet and work with the public by phone and/or in person and follow all BUIHWC/NADC policies and procedures including adhering to all standards relating to FQHC requirements.
  • Must be flexible as at times may be directed to work on a project(s). 

 

Physical Demands & Working Conditions: 

  • Work is mainly in a small healthcare clinic and an office environment.  
  • Daily encounters with population may be chaotic and unscripted.  
  • Often deals with unpleasant, angry, or discourteous people. 
  • Responsible for the health and safety of patients. 
  • Position includes walking, standing, moving, and manipulating clinic equipment for most of the workday. 
  • Regularly sit, with continuous full use of hands, repetitive movement, keyboarding, and clear vision, as well as speak and hear normal conversation.  
  • Requires intermittent, moderate physical effort, moving or carrying 5 to 25 pounds. May occasionally lift or move up to 50 pounds. 
  • Exposed to outdoor environment and on-street driving and moving vehicles. 

 

Hours/Travel 

  • Generally, we have a set schedule each week. 
  • Usually work 40 hours a week with work hours is Monday through Friday, 8AM to 5PM, but may also include early morning and/or evening meetings and events.
