BASIC JOB FUNCTION
The NHS Chicago Loan Originator Assistant plays a vital role in the administrative upkeep of a loan office. As such, the duties of a Loan Originator Assistant covers the entire loan origination process, including managing paperwork and interacting with everyone involved to keep the process moving efficiently. They are also responsible for checking important loan details and requirements before submitting all documentation to the lender (NLS).
These professionals typically report to the organization’s loan originator or L.O. Supervisor and must adhere to the federal and/or state tests and licensing requirements of NLS as a CDFI. They are also in charge of reviewing loan applications and completing administrative tasks for their organization.
PRINCIPAL JOB DUTIES & RESPONSIBILITIES
- Act as a client referral source for LO’s from phone calls, events, etc.
- Assist current and previous clients with issues as related to prior loan submissions.
- Serve as an ongoing point of contact for clients, helping them collect required information and complete any necessary documents throughout the loan process.
- Assist and coordinate internal parties involved in the loan application process, including mortgage loan originators, underwriters, and realtors.
- Gather information for new loan underwriting, including credit reports, tax filings, business entity searches, and title work.
- Ensure loan documentation complies with federal and state requirements.
- Assist Director with scheduling meetings, appointments, etc.
- Review the loan applications before submission to Processing/ UW to ensure all custom fields are complete for reporting purposes.
- Ensure payments for Lending accounts, XACTUS, NATIONWIDE (if necessary), REALINFO, etc.
- Work with Closing, Finance, & Lending to ensure all documents are labeled and uploaded correctly for the loan sale.
- Be a liaison between Lending and the GRANTS dept. to ensure all TAX SMART, TIF, and other NLS/ GRANT programs are completed and submitted in a timely manner.
- Clean up the ENCOMPASS files that have unlabeled and expired documents in files.
- Assist with audits.
POSITION QUALIFICATIONS
- Experience with mortgage loan software programs.
- Experience with Encompass LOS System desired.
- Ability to work with strict deadlines.
- Ability to explain technical concepts in simple terms.
- In-depth knowledge of closing procedures, loan processes, and documentation.
- Good understanding of banking computer software and MS Office.
- Excellent interpersonal and communication skills.
- Good multitasking abilities with good time management skills.
- Must have or be willing to obtain the State of Illinois lending licensing to perform job duties.
Education
- GED or Bachelor’s degree in related fields preferred.
Experience
- One to three years of experience in lending, finance or accounting preferred.
- Experience in not-for-profit environment preferred.
Desired Skills
- Knowledge of the greater Metropolitan Chicago Area and various community areas and neighborhoods helpful.
- Time management skills.
