We are a growing internet marketing company needing a highly organized individual with a take-charge attitude to manage our day-to-day administrative tasks. This person must be a self-starter who’s proactive, polished, and articulate, with the ability to work independently. You must be highly proficient with Microsoft Office and QuickBooks and comfortable with technology. We are an equal opportunity employer seeking a manager to join the team.

Responsibilities

  • Provide administrative assistance to the CEO directly and to other departments
  • Attend to the phone, act as a gatekeeper, handling all inquiries within ability; arrange “callbacks” and meetings as necessary, route calls as needed
  • Robust scheduling, including arranging domestic and international travel, filing all expenses for reimbursement, and providing quality calendar maintenance
  • Responsible for office organization, filing, billing, reporting, and managing people
  • Maintain appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel when necessary
  • Assist with logistics for seminars and trade shows, organize professional meetings and events
  • Act as the primary contact and establish rapport with clients and business partners
  • Ordering supplies and managing inventory for the office needs
  • Flexibility to take on more if needed; ability to delegate tasks when needed

Must be willing to learn daily, work independently and demonstrate sound judgment.

A proactive mentality and can-do attitude are imperative, with the ability to think outside the box.

You are expected to obtain a high degree of knowledge of our programs, services, organization, and objectives to initiate, coordinate independently, and personally perform administrative support processes such as purchasing, reporting, accounts payable, scheduling, billing, etc.

You will be expected to exhibit common sense and exercise judgment and discretion in interpreting company objectives, policies, and procedures as they apply to administrative work tasks and relaying information to and coordinating activities with others. The ability to prioritize jobs is critical.

  • The proper candidate must be intelligent, well-spoken, energetic, and polished
  • Extremely high level of organizational skills
  • Possess a college degree or a minimum of three years of equivalent experience
  • Flexibility and adaptability in regards to change to workflow, tasks, and systems
  • Must use diplomacy and discretion when handling sensitive information
  • Positive attitude and follow instructions
  • Extremely reliable and punctual
  • Take high-level, potentially vague assignments and fill in the blanks with little direction
  • A high degree of confidentiality must be dependable and trustworthy
  • Excellent leadership, management, and client management skills
  • Proficiency in QuickBooks and Microsoft Office
  • Strong problem-solving and troubleshooting skills
  • Superior attention to detail, the ability to multitask and meet deadlines on projects
  • Think creatively and focus on growth opportunities
  • Highly organized individual with the ability to multitask and work well under pressure
  • Desirous of personal growth

Job Type: Full-time

Pay: $19.00 - $25.00 per hour
