ROLE DESCRIPTION:
Maintains and oversees the company’s grounds, building and equipment to ensure a safe and functional workplace. Duties include negotiating contracts with service providers, inspecting facilities to meet safety regulations and coordinating renovations and updates. This position reports to the Business Leader.
\n- Inspects and performs maintenance on assigned equipment and facilities
- Ensures assigned facilities and equipment are ready for regular business and special events
- Maintains files of warranties, records, licenses, inspections, service agreements, and contracts for various pieces of equipment
- Maintains the inventory, storage, and distribution of equipment
- Negotiating bids and contracts for third party workers
- Provides recommendations for purchases of new equipment
- Collaborates with other appropriate management staff to prepare and implement budget
- Managing the upkeep of equipment and supplies to meet health and safety standards
- Inspecting buildings’ structures to determine the need for repairs or renovations
- Plan and coordinate all installations (telecommunications, heat, electricity etc.) and refurbishments
- Review utilities consumption and strive to minimize costs
- Supervise all external contractors (custodians, technicians, groundskeepers etc.)
- Control activities like parking space allocation, waste disposal, building security etc.
- Allocate office space according to needs
- Monitoring the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, parking lots and outdoor recreation spaces
- Performing routine maintenance on facilities and making repairs as needed
- Scheduling routine inspections and emergency repairs with outside vendors
- Ensuring proper security measures for the workplace, including collaborating with security system vendors or a team of security professionals
- Maintaining day-to-day operations of facilities, such as delegating or completing maintenance orders
- Creating reports on maintenance, repairs, safety and other occurrences for supervisors and other relevant staff
- Preparing facilities for changing weather conditions
- Collaborating with building owners and upper management on budgeting for facilities needs
- Would serve as the safety officer for the facility: lead the Safety Committee and assign necessary safety videos
- Associate degree required; Bachelor’s degree preferred
- Experience managing the company’s type of facilities, equipment, and events preferred
- Proficient in word and excel
- Able to manage multiple projects simultaneously
- Strong organizational and analytical skills
- Must be excellent with technology, proficient with Excel, Word, PowerPoint, Outlook, Internet Explorer, and Google Chrome
- Regularly lift and /or move up to 25 pounds, frequently lift and/or move up to 75 pounds
- Frequently required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl and talk or hear
- Must be able to sit and/or drive for long periods of time when traveling
- Must be able to stand for long periods of time (8-15 hours) for multiple days
- Regularly exposed to wet or humid conditions (non-weather); fumes or airborne particles; toxic or caustic chemicals; outdoor weather conditions; extreme cold (non-weather) and extreme heat (non-weather)
- The noise level in the work environment is occasionally very loud
- Specific vision abilities required by this job include Close vision, Distance vision, Peripheral vision, Depth perception and Ability to adjust focus
- High attention to detail
- Understanding of terminology and ability to share and communicate effectively within the group
