Job Purpose
Answers phone, routes all incoming inquiries to appropriate personnel; types correspondence, memos, etc., for supervisory personnel. Organizing and managing tasks and responsibilities. Provides the highest level of customer service to all staff, patients, and outside vendors. Will be responsible for all incoming communications and routing such communications appropriately. Communicate with patients kindly and withhold and encourage them to maintain facility rules.
*This position will be full-time Monday-Friday 9am-5pm*
Duties and Responsibilities
- Answers all incoming phone calls; provides callers with basic information about facility, and routes phone calls to appropriate facility personnel. Track phone calls to Admissions team.
- Takes, records, and appropriately distributes messages if appropriate facility personnel are not available to take phone calls.
- Performs secretarial duties including typing, word processing, coping, filing etc. when phone is not busy.
- Greets all incoming visitors and ensures confidentiality of residents by monitoring confidentiality and visitor logs.
- Keeps running log of office supplies needed. Orders office supplies on a weekly basis, and ensures costs are within budget.
- Supervises cleaning crew to ensure office is presentable at all time. e. office is tidy and clear of boxes and other items, kitchen is clear of dishes and clutter, etc.
- Sustains updated logs for fire extinguishers and medical room fridge.
- Maintains and sends in weekly reports to the appropriate departments i.e. transitional roster and outpatient roster.
- Assists with transitional client medications by sending in refills, working with pharmacy, and uploading medication sheets to client files.
- Manages intake paperwork for assessments and psychiatric appointments.
- Schedules psychiatric appointments and makes reminder phone calls for said appointments at least one business day in advance.
- Completes incident report audit and follows up with employees to ensure reports are being filled out as quickly as possible.
- Assist with client graduations at the Transitional level.
- Help setting up trainings and Family Programs.
- Take payments in person and/or over the phone.
- Assists Administration team to create and implement forms and documentation.
- Replenishes Transitional packet work, papers, and forms.
- Obtain insurance information and create verification of benefits.
Qualifications
Education:
High school diploma, or equivalent, required. Must be at least 18 years of age. Must possess excellent written, oral and verbal communication skills. Ensure punctuality and promptness at the front desk.
Training and experience:
One to two years’ experience preferred, preferably in behavioral health setting. Type approximately 50 WPM.
Knowledge Required:
Understand basic office procedures.
Working Conditions
Primarily reception area of the facility.
Physical Requirements
Must have satisfactory vision and hearing to adequately and efficiently perform the requirements of the position. Must be able to lift and walk approximately 20 feet, of at least 50 lbs, as required for office shipments and other duties as needed. Must be willing to receive AEGIS and CPR certifications.
