Summary:
Under the supervision of the Corporate Counsel, and in support of the Licensing and Compliance Administrator, the Contracts and Licensing Specialist is responsible for supporting the contract administration and licensing functions at New York Edge. The role will support contract administration, including tracking, compilation and processing of Third Party Agreements and Government Contracts. This role will also assist with the tracking, compilation, and processing of Office of Children and Family Services (OCFS) and Department of Health and Mental Hygiene (DOHMH) School-Age Child Care (SACC) documentation.
An essential function of the Contracts and Licensing Specialist is to develop and maintain effective working relationships with internal Program staff, and Human Resources members, and to ensure consistent communication and timely completion of all assigned tasks.
Salary:
$22.00/hr, up to 25 hours a week
Primary Job Functions:
Contract Administration
- Receive and track Third Party Requests for Subcontractors, Vendors and Consultants
- Assist with collection, review, and tracking of all submitted Third Party contracts
- Assist with completing documentation and filings related to government contracts and grants including the Department of Youth and Community Development (DYCD) Discretionary Award
- Assist with collecting information related to Vendor Responsibility inquiries from city and state agencies
SACC License Administration
- Assist with the updating and maintenance of all Licensing tracking and filing systems
- Follow up with Program Staff for outstanding materials and supporting documentation related to SACC licensing
- Create and maintain documentation templates for communications with regulatory agencies (OCFS, FDNY)
- Complete check request forms for fees associated with SACC license filings
- Assist with the assembly of applications and emails to request information for all Summer Day Camp Permits
- Assist with the maintenance and tracking of all FDNY and CPR/First Aid Certifications
Interacts with:
- New York Edge Department Heads, Program Management, and After-School Program Directors
- Licensing and Compliance Department
- Human Resources Department
Required Knowledge and Skills:
- Proficient with computers, including experience with Microsoft Office
- Excellent communication and interpersonal skills
- Ability to manage multiple tasks and shifting priorities under tight deadlines
- Ability to ensure integrity of information and workflow processes
- Well organized and detail oriented
- Knowledge of New York State OCFS School Age Child Care and NYC Summer Camp regulations preferred
Educational Requirements: High School Diploma or equivalent required. Some college preferred
Experience Requirements: Two years of relevant experience in operational support
