Position Title: Manufacturing Office Assistant III
Location: YCP – Whately, MA
Shift: Monday – Friday; 7:00 AM – 3:00 PM
Reports To: Production Manager
Job Summary:
This is a key position which under general supervision will provide clerical support and a wide range of diversified, customer focused administrative duties to assist, and support assigned senior management. This position is responsible for working with people from all levels of the organization. This position will work with highly confidential information from all levels of the organization.
Key Responsibilities:
Duties include but are not limited to:
- General office tasks such as answering/screening telephone calls, scheduling meetings/appointments/tours, preparing letters, coordinating travel, responding to requests for information, preparing routine reports, attending operations and planning meetings, note taking and other similar tasks.
- Communicating with corporate management and staff to ensure completion of assigned tasks and projects using knowledge of business strategy and divisions initiatives.
- Assists in the timely completion of projects assigned by manager including period and quarterly reports/presentations and preparation for building meetings and special building events and celebrations.
- Supports with Payroll and maintains attendance database for hourly employees.
- Inputs approved data from time sheets/reports and allocates labor hours for hourly employees to computerized payroll system. Reports on discrepancies, such as missed punches and resolves routine problems.
- Support with orders of office supplies, maintains supply cabinet and monitors supply distribution and inventory.
- Performs clerical support tasks such as maintaining posting boards, scheduling conference rooms and other duties in support of the Manufacturing division.
- At times will greet and direct guest in compliance with company visitor regulations, answer, screen and forward calls. Provides information, takes messages and pages employees, guests and/or vendors. Provide basic information about the company, such as location of departments or offices, services provided or locations of forms/posted material.
Associates Degree or equivalent experience, 5 years of Administrative Assistant experience.
- Thorough knowledge of Microsoft Word, Excel and PowerPoint, and basic office equipment required.
- Previous experience with report writing and spreadsheet knowledge along with creating presentations a plus.
- Excellent communication, interpersonal and organizational skills, and the ability to maintain confidentiality required.
- Strong attention to detail, follow-through, and a passion to represent the Yankee Candle brand.
- The ability to pro-actively work independently or as part of a team, with the ability to communicate at all levels.
- Flexibility in work schedule is also required for possible overtime, work on holidays, weekends and extended hours with minimal notice and as required by operational need.
