Payroll & Benefits Specialist
Position Summary:
Under the general supervision of the Human Resources Manager, the Payroll & Benefits Specialist performs a variety of technical and para-professional duties in support of the Human Resources Department. Processes payroll, and maintains confidential payroll information, assists with benefit enrollments and records. Provides excellent service to our internal customers which includes our MCE staff, management, and executives.
Essential Functions:
- Ensures payroll database reflects current and accurate information; verifies and inputs pay and data changes
- Calculates termination payments in compliance with MCE policy and federal and state laws; calculates adjustments, special pays, retroactive payments, and overpayment of wages; issues manual payments as required
- Reviews invoices and payments associated with payroll and benefits reporting
- Assist managers/supervisors with employee time sheets and timecard adjustments
- Prepares reports and payments as required
- Audits and maintains accurate benefit use and accruals
- Interprets, and maintains policies and procedures pertaining to payroll and benefits
- Assists with annual open enrollment period for all benefits
- Ensures the timely production and distribution of W2s
- Submits payroll and benefit reports to external agencies as requested
- Assists all employees with questions regarding health-related disability, leave without pay, FMLA, and Workers Compensation
- Creates new hire personnel files
- Maintains personnel and payroll records as set forth in records retention schedules
- Assists all terminating/retiring employees with exit paperwork
- Maintains confidentiality regarding personnel actions; confidential and sensitive performance problems; documents of non-renewal and termination actions, organizational plans, and legal actions where premature disclosure could disrupt activities within the HR office, or any MCE department or division
- Maintains confidentiality of information exposed to during business
- Contributes to a safe working environment by participating in all training and being prepared to act should a health or safety emergency occur
- Requires the kind of teamwork, supervision, and personal interaction, that cannot be had in a home office situation; therefore, regular and predictable on-site attendance is required.
- Other duties as assigned.
Required Skills & Qualifications:
- ADP TotalSource and/or ADP Workforce Now experience REQUIRED (TotalSource preferred)
- Broad knowledge of general Human Resources principles, law, policies and procedures
- Experience working in an organization of at least 200 employees
- Experience working in a multi-state organization preferred (Canada a plus)
- Knowledge of federal, state, and local laws, regulations and guidelines related to assigned work
- Knowledge of payroll principles, practices, and methods
- Familiarity with accounting practices and procedures
- Skill in evaluating and analyzing technical payroll activities
- Skill in preparing detailed payroll reports
- Ability to exercise considerable initiative and independent judgment
- Ability to maintain confidential information
- Excellent interpersonal skills both verbal and written
- Attention to detail and ability to cope with several tasks and projects simultaneously
- Ability to meet deadlines
Education and Experience:
Associate Degree in HR-related field (Bachelor’s degree preferred) and 5 years of payroll & benefits experience, or equivalent combination of education and experience
Work Location:
Costa Mesa, CA location. On-site position at our corporate office and production facility.
Starting Salary:
TBD – Based on Experience. Hourly non-exempt.
