What are the responsibilities and job description for the Admissions Coordinator position at NHA Service Center?
The Admissions Coordinator role is designed to support admissions representatives (AR) by assisting with CRM, texting, Calendly, and special orders. The coordinator will also assist the admissions manager (AM) team with weekly meetings and administrative support. A continuous improvement mindset is essential to discover new tools to help improve efficiencies of department and admissions representatives.

Your Role
- Weekly O3’s with their admissions manager to discuss admissions efforts and best utilization of CRM, texting, Calendly, special projects, and special orders.
- Weekly AM meeting set up including agenda and taking minutes.
- CRM content editing
- Will provide CRM mentoring for new ARs and work with ARs needing additional support. This could include creating training materials and cheat sheets, one on one training, or other vehicles to help ARs navigate new CRM features.
- Will manage all necessary CRM data entry/editing/communications for all Level One schools.
- Assist CRM project team back log with research, testing, and recommendations. Responsible for coordinating communication of CRM upgrades to the field.
- Coordinate the activation and deactivation process of ARs, including all onboarding details (ie:computers, name tags, business cards, emails, etc..)
- Assist with AR Central, keeping it current with resources and information, or helping to develop another platform to house AR information.
- Manage a working contact list of ARs and update mail distribution lists.
- Facilitate Calendly for all participating schools including training and technical support to AR’s and SA’s. • Coordinate special orders for AR’s (ie: scholastic book orders)
- Additional support with postage tracking, other reporting, or when “one off” projects or timing warrant it.
- Coordinate and track AR computer upgrades.
- Administrative support ie: helping new schools with meeting materials, ordering flowers when necessary, coordinating inventory of collateral (ie: Banners etc) and mailings to parents on behalf of events.
- Administrative request from the field. (ie: printing lables and mailings)
- Coordinate larger training activities, namely New AR Training and Annual Recruitment Conference
- Coordinate all position changes for AR in the NHA systems to ensure seamless access to resources (ie: school changes, FTE changes, new hires, current AR vacancies)
- Create and distribute monthly AR communications (ie: newsletter)
Requirements
- Demonstrate leadership qualities and interpersonal skills to function at higher level of professionalism.
- Minimum of an Associate’s Degree required, Bachelor Degree preferred.
- Experience in recruitment or admission department preferred.
- Demonstrates strong advocacy for NHA and integrated systems thinking.
- Expert level user of CRM system preferred and/or a desire to learn more on an ongoing basis.
