The Events Specialist oversees all aspects of event planning and management, including internal and external events and is responsible for providing On-site support pre and post events for industry trade shows and other Marketing events. In general, the Events Coordinator is responsible for vendor management, coordinating logistics, budgeting and documentation.
Primary Responsibilities:
- Coordinate events for industry tradeshows, conferences, and webinars includes organizing event calendar, logistics with sales and product management, registration, set up and distribution of booth materials
- Organize booth management and support, including set-up and break down, staffing, coordination with boot builder and shipping logistics and materials (product and demos, literature, promotional items, etc) to and from show
- Create and report on lead and customer marketing campaigns in Salesforce.com in order to have data to optimize our customer journey and event ROI
- Assist in planning conferences and events for corporate and association clients including site selection, travel, hotel banquet and audio-visual needs and follow through to assure everything was as requested
- Event budget tracking, opening and maintaining purchase orders, reconciling invoices to budget
- Event Marketing coordination including pre-event email invites, follow-up, in Pardot and Salesforce
- Assists in coordination of all hotel room blocks, on-site logistics for conventions and meetings
- Maintains event budget tracking, purchase orders, reconciling invoices to budget
- Document approvals, tracking status and communication between key parties for event execution and tracking, maintain distribution lists, update and enhance the Third-Party internal webpage, coordinate team meetings and events, document and distribute team notes
- Other Duties as assigned
Qualifications:
- Minimum of 2 years of related experience in event coordination and marketing
- Bachelor's Degree in Business/Marketing/Hospitality/ Public Relations or Related field or equivalent experience preferred
- Strong experience using Microsoft applications (i.e., Excel, Word, PPT, etc.).
- Previous experience planning, coordinating and budgeting corporate events
- Experience using Pardot and Salesforce is a plus

- Strong written communication and verbal skills Proven ability to multi-task, set project priorities, goals and objectives for self
- Ability to effectively & professionally communicate with co-workers, customers and vendors
