SUMMARY
General responsibility is to support the HR department with high volume of data entry. Position is also responsible for all front desk reception duties. This position requires excellent organizational skills and must maintain the highest level of confidentially and discretion. Strong attention to detail is imperative to the success of this position. Employee must be punctual and reliable in order to meet the many deadlines of the department. An individual with a good attitude and strong work ethic will excel in this position.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Maintain and file all field employee attendance, sick, and vacation records, paper and electronic.
  • Managing the company's front desk reception area by receiving and directing visitors, answering all incoming telephone calls, collecting and distributing mail and messages, office supplies inventory and tracking, and other general office support as needed.
  • Maintain and distribute company phone directory.
  • Serve as a point of contact between Employees, Supervisors, and HR Administrators
  • Assist with distribution and execution of company policies.
  • Assist in the maintenance of payroll operations by following policies and procedures.
  • Assist with distributing paychecks to all departments on paydays.
  • Responsible for maintaining the stock of all new hire packets, handbooks and required pamphlets.
  • Assist with employees' requests and provide relevant information. Can include employment verifications, wage information, check copies, W2 copies, handbook and company policy inquiries, handling sensitive issues or complaints, etc.
  • Provide professional response to inquiries concerning benefits, salaries, and other related questions.
  • Coordinate with technical support of office equipment, office deliveries and postal service meter upkeep.
  • Regular upkeep of daily office needs and ensure all supplies, such as paper goods, toiletries, etc. are stocked. Responsible for organizing and tidying office supply cabinets, kitchen area, and main office common areas.
  • Work with the HR Administrator to initiate the development and implementation of policies and procedures as needed.
  • Provide administrative and clerical support for the HR Administrator when necessary.
  • Assistance with any other miscellaneous administrative support duties that may come up.

EDUCATION and/or EXPERIENCE

Working knowledge of Customer Service and HR principles and personnel administration and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read and interpret documents such as wage garnishments, procedure manuals, ability to write clear, accurate and logical procedures, reports, correspondence and create forms. Ability to speak effectively before groups of customers or employees of organization. Bilingual in English and Spanish is preferred.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form with no supervision. Ability to deal with problems involving employees and to deal tactfully with others.

COMPUTER SKILLS

Ability to use computers on a daily basis. Possess knowledge of Windows, spreadsheet and word processing software programs. Ability to handle a high volume of data entry.

While performing the duties of this job, the employee is regularly required to sit and communicate. The employee frequently is required to use hands to finger, handle, or feel and reach with hands and arms. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, and the ability to adjust focus.

WORK ENVIRONMENT

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee may occasionally be exposed to construction site conditions. The noise level in the work environment is usually moderate.

Pay: $19.00 - $22.00 per hour
