Job Description: The Administrative Assistant provides full-time front desk receptionist coverage and general office and administrative assistance in support of various groups and individuals. The successful candidate will be highly self-motivated, organized, able to adapt to a consistently changing, fast-paced and dynamic environment.
Responsibilities include:
- Provides reception desk coverage; greets and signs visitors in, sorts mail, orders office supplies, and coordinates refreshments and lunch for meeting.
- Provides administrative assistance to all staff, performing general office duties and assisting with certain facilities, communication, employee onboarding, and safety related activities
- Works closely with and schedules office related vendors such as restaurants, furniture and office suppliers, and coffee and food vending service providers.
- Schedules and coordinates logistics for meetings and corporate events; reserves conference rooms, arranges catering, and provides meeting support.
- Supports document preparation, maintains filing, performs data entry and various other administrative tasks, as needed.
- Provides support for company safety protocols.
- Enters training rosters for tracking.
- Evaluates and recommends improvements in procedures, systems, and record keeping.

- Associate’s degree and one year of experience; or HS Diploma or equivalent AND three years of increasingly responsible clerical experience in a professional environment.

- Ability to work minimal direct supervision and to apply sound judgment in making decisions in accordance with established policies and procedures.
- Excellent listening and customer service skills, in person and on the phone.
- Ability to protect confidential and proprietary information and to set professional boundaries.
- Excellent written and verbal communication skills.
- Proficient in Windows, Microsoft Word, Excel, and Outlook; MS PowerPoint and SharePoint knowledge is preferred.
- Ability to learn new systems.
- Ability to coordinate across organizational boundaries to complete projects or tasks.
- Must be able to work in-person from 8:00 AM to 5:00 PM with the flexibility to work overtime if needed.
- Experience in business operations, human resources, or security experience is a plus.
Compensation Range: $40,000 - $55,000 per year
