Position Summary:
Tommy Nobis Center’s receptionist is responsible for providing clerical support for all departments located at Tommy Nobis Center’s primary administration location. The receptionist is responsible for greeting guests, assisting guest direction to the appropriate department, answering and routing incoming calls, mail distribution, and various other clerical duties. The receptionist position is the primary back up for Front Office Coordinator.
Essential Job Functions and Responsibilities:
* Professionally and expeditiously answers and routes incoming calls through the corporate telephone system. Greets guests entering the facility and assists with directing them to the appropriate department.
* Manages the bi-monthly Drugs Don’t Work training material and ensures it is distributed to all employees for completion. Maintains a log of completed DDW training certifications.
* Ensures training material is current and updates the training database accurately.
* Assists with the People & Culture department to route employment applications as needed.
* Orders office supplies.
* Creates effective communication material as required.
* Provides visitor security protocol by screening visitors for admission into the building, issuing visitor badges, checking identification, and observing unusual behavior of unknown persons entering Tommy Nobis Center.
* Internal point of contact for emergency situations, including but not limited to calling for outside emergency services.
* Ensure employee and visitor logs are maintained accurately to allow leadership and emergency services to know precisely who is currently supposed to be in the building in the event of an emergency.
* The receptionist, as needed, will place service calls for vending machine reorders and repairs. Monitor and secure monies for vending machine refunds for employees and clients.
* Responsible for placing service calls for fax/copy machines and postage meter. In addition, orders and maintains adequate supply stock for each machine’s printing needs.
* Sorts and distributes incoming mail. Ensures outgoing mail is collected daily.
* Responsible for filing and organizing the Tommy Nobis Center Resource Library.
* The receptionist, as needed, will assist in maintaining a monthly check log database to assist the accounting department. Receptionist

* Assist with special projects as requested.
* Acts as primary backup for the Front Office Coordinator, including providing full clerical support when the coordinator is out of the office.
