JOB SUMMARY

The Office Assistant will be responsible to assist the Executive Director in managing the back office portion of the gym software, run reports, manage the info. email, coordinate accounts receivable and assist in inventory management.

Front Office Coordinator Job Duties:

1. Run reports daily/monthly for previous day memberships sold, memberships canceled.

2. Review emails from members and vendors sent to info@ mailbox and delegate to correct individual.

3. Prepare and maintain records.

4. Create promotions and new items inside of the gym software.

5. Type correspondence, reports, memos, and forms as requested by the Executive Director.

6. Prepare AR reports and call lists for clubs.

7. Perform insurance verifications.

8. Take clear and concise phone messages.

9. Partner with 3rd party collection agency to collect RFC’s

10. Prepare charts for the next day.

11. Assist in inventory reporting with club managers.

12. Distribute mail when applicable and handle routine correspondence.

Skills/Qualifications:

· Good organizational skills and multi-tasked abilities

· Knowledge of Word, Excel, CRM and or Gym Software Programs

· Organization, Scheduling, Professionalism

· Member Focused with a positive attitude

· Strong Verbal Communication

· Office Management Experience

· Computer skills and ability to learn quickly from oral and written instructions

· Dependable and Ability to Work Independently

Job Types: Full-time, Part-time

Pay: $14.00 per hour

  • 8 hour shift

Education:

  • High school or equivalent (Preferred)

Experience:

  • Microsoft Office: 1 year (Preferred)
  • Office Management: 1 year (Preferred)
  • Reporting Software Programs: 1 year (Preferred)
