THIS WORLD-RENOWNED LAW FIRM THAT EVERYBODY WANTS TO WORK FOR IS SEEKING A SR. AA WHO HAS WORKED FOR A GROUP OF ASSOCIATES AND PARTNERS. Need someone who has worked for a group of high-profile attorneys. This is a hybrid position.
The person in this role will be expected to interact professionally with administrative staff and lawyers. This is a non-exempt position and reports to the Director of Secretarial Services.
Core duties include heavy calendar management, scheduling, an emphasis on assisting with and tracking client and business development activities, billing and collections and the need to be very organized and proactively manage the partners and associates' day.
Responsibilities include but are not limited to:
· Assists attorneys with all aspects of administrative functions.
· Manage calendar and arrange schedule (set up meetings, conference calls, travel, speaking engagements).
· Document production.
· Telephone answering and accurate message taking. Communicate effectively on multiple telephone lines. Establish positive relationships with clients.
· Manage time entry, billing, and expense reports.
· Photocopying and filing.
· Providing backup support to peer assistants.
· Notarize documents.
· Performs other duties as they arise.
· Must be able to handle multiple tasks and work in a team setting.
Requirements:
· 5 years working for partners and high profile associates
· Superior verbal, written, and interpersonal skills.
· Highly proficient technical skills – Word, PowerPoint, Excel
· Positive attitude/strong work ethic
· Flawless Interpersonal skills and ability to work collaboratively in a team environment – friendly, flexible, punctual
· Exceptional organizational skills and discretion in handling confidential material
· Ability to thrive in a fast-paced environment while exhibiting excellent judgment,
dedication, and discretion
· Ability to anticipate needs, think steps ahead, identify conflicts and provide solutions
· Ability to set priorities and adjust as necessary to accommodate demanding schedules with critical deadlines.
Preferred Qualifications:
· Bachelor’s Degree preferred.
· Law firm experience
· Excellent attendance, punctuality, and ability to work overtime.
· Ability to function under pressure.
· Detail oriented with strong day-to-day organizational
