Title: Secretary to the Athletic Director
Reports To: Athletic Director & High School Principal
Takes Direction From: Athletic Director & High School Principal
Schedule/Calendar: 7.5 hours/day 37.5 hours/week 261 days/year
Summary: The Athletic Secretary's principal duties involve interacting daily with the administration, faculty and staff, students and parents. A variety of secretarial and clerical duties is performed providing assistance to 90 coaches. There is additional responsibility in coordinating use of high school athletic facilities.
Essential Functions:
- Greets visitors, coaches, athletic directors, college coaches, students, parents, and staff
- Maintains the high school athletics calendar
- Types confidential and routine correspondence, memos, reports, minutes, schedules, lists, agendas, charts, tables, and/or forms
- Prepares and distributes high school eligibility lists for all athletic teams and activities
- Assists in the scheduling of athletic events
- Notifies officials, coaches, and appropriate district personnel of changes and/or cancellations in the schedule
- Distributes contracts for athletic events and officials for 3 sports seasons
- Assists middle school athletic directors when needed
- Compiles, processes, verifies, records, reproduces, and/or distributes paperwork and calendars for sports as required
- Additional duties as assigned by supervisor
Education And/or Certification Required:
Experience:
- Minimum two years secretarial experience
Knowledge:
- Knowledge of Google and all associated functions: email. calendar, docs, sheets, slides, etc.
- Knowledge of office work such as filing and storing information
- Knowledge of customer service
Requisite Skills:
- Excellent communication, both orally and in writing, and organizational skills.
- Excellent interpersonal skills focused on customer service.

- Excellent problem-solving skills, phone skills, and the ability to multitask
- Must maintain strict confidentiality of sensitive information
