Office Specialist
The North Range Behavioral Health Office Support staff members are located at all North Range Behavioral Health sites and are typically the first line of contact for consumers. The focus is on providing first-rate customer service to consumers and other stakeholders who enter our system.
Duties Performed
- Answer telephone, take and transfer messages; screen individuals and calls; refer person(s) to appropriate source and/or schedule appointments; answer standard questions, and refer those requiring significant interpretation, as directed, to the appropriate source.
- Receive hard copy/or electronic documents; maintain records and/or inventory systems; perform routine record keeping; compile, research, number, process, and purge information and/or documents according to established rules and procedures.
- Open mail and distribute as directed.
- Assist in contacting customers to obtain information to solve problems, errors, or complaints; exchange or collect information with customers.

- Assist with scheduling meetings and coordinating room arrangements for special functions (i.e. meetings, training, presentations, etc.).
- Record and transcribe meeting minutes; prepare and distribute as directed.
- Calculate variable fees for customer services based on a sliding fee scale dependent on established rules and/or guidelines.
- Perform typing or word processing to complete assignments such as agendas, minutes, and instructional materials; edit documents for accuracy and make necessary corrections; complete accurate and timely data entry.
- Correct errors detected in documents or transactions, as needed.
- Explain processes and procedures, forms, requirement changes, and fees to customers.
- Act as a Customer Advocate by advising and/or guiding the direction taken to resolve complaints or problems with customers, family members, and others.
- Demonstrate fiscal responsibility by supporting agency collection policies and procedures, ensuring client understanding of service charges and fee changes. May work proactively with payor sources to ensure payment of services and/or request authorization before provision of services.
- Use a computer and associated software to create and format correspondence, spreadsheets, graphs, and charts.
Education/Credentials
- High School Diploma or GED is required.
- Associate degree (AA) or advanced business coursework from a vocational school or college is preferred.
- Bilingual English/Spanish skills are strongly desired.
Experience
- 1-year experience in an administrative support position or an equivalent combination of education and experience.
- Related experience in a medical field is preferred.

Salary placements will vary and may be above the starting wage based on factors including but not limited to location, experience, education, and licensure. Salary placements will generally occur between the starting wage and the midpoint of the salary range.
Employees may be eligible for additional pay based on program, evening, night, weekend, or holiday work. Bilingual pay may be available upon successful passing of language validation testing.
