About the Opportunity Reporting to the Senior Business Systems Analyst, the Advancement Systems Associate will play a key role in Advancement’s data administration and technology process tasks. The Advancement Systems Associate will play a crucial role in four main areas; 1. Acting as a liaison and collaborator with Annual Giving, Alumni Relations, and other Advancement groups. The Advancement Systems Associate will coordinate project work that generates gift, pledge, or biographic data; assist with the coordination and processing of giving day initiatives; and act as backup for Senior Business Systems Analyst in maintaining and performing daily tasks and exporting data required for gift processing. 2. Monitor key systems and respond to any issues to maximize uptime and ensure data integrity. Working with the Senior Business Systems Analyst and Advancement developers, s/he will identify and make recommendations for data integrity issues. 3. Developing and maintaining accurate and timely documentation for technology processes used by various Advancement Departments. Create useful data entry and gift processing documents and files in conjunction with Advancement Technology staff. Ensure that data is accurately uploaded to Salesforce. 4. Coordination and implementation of project work. This includes coordination and oversight of data update projects, assisting with teaching new software or software upgrades to staff, research, and reconciliation of data among systems, and other duties as assigned. KEY RESPONSIBILITIES Act as liaison to Advancement Clients to coordinate project work and new initiatives that impact the Salesforce and/or Banner databases inclusive of: Interface with annual giving and office of alumni relations to coordinate project work that generates gift, pledge, or biographic data Assist with coordination and processing of giving day initiatives and accompanying gifts and updates Help maintaining ecommerce store and prepare source documents for transactions Prepare event transactions directing gift and revenue funds accordingly Act as backup for Senior Business Systems Analyst in maintaining and performing daily tasks related to exporting data required for gift processing etc. Design and monitor quality assurance processes for data feeds between SalesForce, Banner, and other Advancement Systems, create and maintain accurate documentation for these areas: Work with Senior Business Systems Analyst, Senior Advancement Developer, and Developer to identify data integrity issues and make recommendations for ongoing data integrity improvements Working closely with the Manager of Gift Processing and Constituent Data to create useful data entry and gift processing documents and files Ensure that data from iModules, Blackbaud, Evertrue, “Update Your Information” web page and is being accurately uploaded to Salesforce Project work Coordination and oversight of data update projects inclusive of alumni directory projects, surveys, NCOA updates and vendor and web updates Assist with testing of new software or software upgrades Assist with research and reconciliation of data between Banner, Salesforce, and other Advancement Systems Miscellaneous project work QUALIFICATIONS Bachelor’s degree required. At least three years of professional experience required. Strong computer skills with knowledge of data entry techniques. Detail-oriented and concerned with quality and accuracy. Ability to interpret information from a variety of sources and take action. Ability to analyze information and identify discrepancies. Ability to make high quality recommendations. Strong interpersonal skills. Customer-service oriented. Strong communication skills are a must. Must be able to work independently and as part of a team. Experience in higher education, particularly in fundraising reporting and analysis is a plus. Strong organization and information management skills as well as the ability to work in a fast-paced environment. Proficiency in Microsoft Office including Word, Excel, and Outlook.
