The Administrative Assistant will play a crucial role in supporting the Office of International Affairs. Responsibilities include assisting International Affairs staff with daily operations, delivering exceptional and prompt customer service, upholding professionalism and confidentiality, prioritizing tasks effectively, working autonomously when necessary, and contributing as a cooperative team member with strong clerical abilities.

Responsibilities

  • Maintain day to day operations for International Affairs
  • Provide administrative support to the International Affairs staff members, such as expense reports, credit card reconciliation, travel arrangements, and any other necessary assistance as needed.
  • Manage the scheduling of appointments, meetings, and calendars for International Affairs staff members while also coordinating student employee schedules and approving their timecards.
  • Ensure accuracy and integrity of audit, academic records, and other essential documents within the student information system.
  • Assist with monitoring the office budget and provide supportive suggestions for cost management.
  • Support, coordinate, and implement new student orientation as needed.
  • Assist with event planning and execution (i.e., Open Houses, Orientations, Summer Programs)
  • Plan and implement processes for key administrative functions to support International Program Centers (IPC):
    • Manage student application and conversion processes, curriculum management (including degree audit, course sections, and registration), academic records maintenance, graduation audits, and reporting.
    • Engage with University Registrar in maintaining IPC students in the Colleague Student Information System.
    • Assist with invoicing for International Program Centers and serve as the initial point of contact and facilitate communication with IPC alumni, facilitating their documentation needs.
    • Coordinate campus visits/tours for students/families/partners who wish to visit campus.
    • Update and maintain website information and forms.
    • Maintain a thorough understanding of NU services, academic programs, and initiatives to effectively answer customer questions and guide customers to the appropriate department within the University.
    • Distribute essential communications to staff and students while ensuring timely responses to all calls and emails.
    • Monitor and replenish office equipment and supplies as needed.

    Qualifications

    • Bachelor's degree preferred; associate degree required.
    • Current or previous office experience, preferably in Higher Education, is desired.
    • Excellent oral, written, and communication skills.
    • Possess strong interpersonal and customer service skills.
    • Proficiency in the Microsoft Office Suite
    • Demonstrate experience working in teams and the ability to prioritize and manage multiple tasks with minimal supervision.?
    • Ability to work with culturally diverse populations.
    • Must be highly motivated and solution oriented with a high degree of integrity, ethics, and dedication to the mission of the university.
    • Experience in maintaining, developing, and implementing electronic and other processes to improve the function of an administrative unit.
    • Ability to work independently and as a team member.
    • Must hold a valid U.S. Driver’s license.
