Overview & Responsibilities
Our client is seeking an Administrative Assistant to join the organization’s Special Investigations Unit, which is responsible for investigating Fraud, Waste, and Abuse perpetrated by customers. The team consists of 27, and ultimately reports up through the Corporate Risk Assurance Division – led by the Chief Risk Officer. Considering ongoing operational and project work, the Director of Specialist Investigations Unit is in need of an Administrative Assistant to lend support to the team as a whole.
General responsibilities include:
- Prepares correspondence, spreadsheets, documents, and reports in a variety of programs including Adobe Acrobat and MS Excel, PowerPoint, and Word.
- Makes travel arrangements and processes travel and other business expenses using Concur.
- Schedules internal and client meetings, prepares agendas, and takes meeting minutes.
- Maintains calendars, coordinates team meetings, and schedules conference calls.
- Files and maintains physical files and supporting documentation.
- Creates, edits, prints, and distributes materials.
- Receives payments via checks and wire transfers and provides this information to Overpayment/Check Processing team.
- Submits invoices for processing to AR/AP team.
- Receives, scans, and uploads medical records.
- Generates and sends templates letters to members and providers.
- Submits IT tickets using OneStop and SailPoint when supporting onboarding of new employees or when systems are not functioning properly.
- Provides telephone coverage.
Required Skills & Experience
- Minimum of a High School Diploma and 3 years of experience as an Administrative Assistant with large organization(s).
- Strong experience scheduling and coordinating internal and external meetings, preparing meeting agendas, and taking meeting minutes.
- Comfortable working within Microsoft Word, PowerPoint, Excel, and Outlook.
- Experience using Concur for travel arrangements and/or expense management.
- Adept at learning new technologies and processes.
- Excellent attention to detail and time management skills.
- Excellent written and verbal communication skills with the confidence to speak to various audiences, including law enforcement officials from various government agencies.
