Job Description

Nutrex Research, Inc. is looking for an experienced Administrative Assistant. This is a full-time, on-site position at our facility in Oviedo, FL.

The Administrative Assistant will play a key role in providing support to the domestic sales team in the area of order fulfillment, inventory control procedures, logistics, and office support. Working under the direct supervision of the Office Administrator, this position provides organizational support and is responsible for a variety of tasks.

The characteristics of a successful Administrative Assistant will be highly methodical, organized, action-and-detail oriented, digitally literate, with excellent oral and written communication skills. The right candidate will should have a basic understanding of sales, inventory management, warehousing, and business accounting principles.

Responsibilities

· Allocating inventory and processing sales orders for a team of inside and remote domestic sales representatives.

· Responsible for obtaining proper documents from sales representatives for new account set up in the ERP system.

· Collect, validate, and maintain up-to-date records of resale permits for all domestic wholesale and distribution accounts.

· Process credit card payments and other payment-related transactions.

· Research and respond to chargeback disputes or credit memo requests.

· Create, interpret, and distribute ad-hoc and monthly sales reports.

· Regularly monitor, communicate, and process backorders for sales representatives.

· Learn to process EDI orders and document transmissions, ensuring SLAs are met and orders are fulfilled/shipped within specified timeframe.

· Identify and communicate inventory needs with Director of Sales and Operations department.

· Communicate with corporate chain buyers/planners regarding purchase orders and inventory availability.

· Assist Office Administrator with general clerical duties, such as scanning, mailing checks, supply orders, checking and sorting mail, answer and direct phone calls, take messages, and handle correspondence, greet and assist visitors and clients, etc.

· Digital and physical file organization and maintenance.

· Other tasks/special projects as assigned.

Required:

· Proven experience as an administrative assistant or in a related role.

· Working understanding of sales, order fulfillment, inventory control procedures, and logistics.

· Proficiency with computer programs, including Microsoft Office Suite.

· Inquiring mind/critical thinking skills for research, problem solving, and negotiation.

· Excellent communication, research, problem solving, and time management skills.

· Ability to work independently while multi-tasking and effectively prioritizing workload.

· Ability to maintain confidentiality and exercise discretion with sensitive information.

· High level of attention to detail, accuracy, efficiency, and accountability.

· Ability to deal diplomatically and effectively with customers and distributed teams.

· Must be able to adapt and thrive in a fast-paced work environment.

Preferred:

· Bachelor’s Degree

· Experience: 2 years in administrative work with basic accounting knowledge

· Proficiency in Microsoft Office Suite and Outlook

· Experience with ERP systems is a plus

· Organizational focus and attention to detail

· Excellent communication, research, problem solving, and time management skills

· Capable of multi-tasking and effectively prioritizing in a fast-paced environment
