What are the responsibilities and job description for the Proposal Writer position at Nuvolo?
As a Proposal Writer, you will be a key member to a fast-growing team of industry experts and technology enthusiasts. This role collaborates closely with cross-functional teams across the company and partner ecosystem to develop and produce cohesive, well-organized and high-quality documentations in response to customer requests (RFI, RFQ, RFP and others) for software and services information, proposals, quotes and other supporting business and technical product materials. You will have the opportunity to work on a global team of professionals in a fast-paced, growing sales community as you develop compelling, winning proposals.
As a Proposal Writer, your role will include:
- Reviewing customer-defined scope, business and technical requirements for document requests and prepare development strategy, plan and schedule for each proposal;
- Serving as the organizational point of contact to communicate customer requirements, delegate tasks and manage project responsibilities to meet deadlines;
- Working closely with various resources both inside and outside of the organization including but not limited to Sales, Solution Consulting, Professional Services, Operations, Support, Development, Marketing, Legal, external partners and vendors;
- Creating, collecting, proofreading, organizing, formatting and reviewing drafts and final editions of submission documents for readability, responsiveness and compliance with customer requirements and Nuvolo business and legal policies and practices;
- Analysis of customer needs, requirements and research Nuvolo and other various sources of information to compose custom and boilerplate business and technical information that effectively communicate the benefits and features of our software and services for use in current and future response opportunities;
- Augmentation and management of RFP knowledgebase to provide response content that includes only the most accurate and current company, software and services information;
- Creation of detailed proposal outlines, templates and style guides for document consistency and conformity with company approved marketing, messaging and branding standards;
- Identifying, recommending, implementing, documenting, communicating and training Sales, Solution Consultants and other teams on RFP best practices, processes and procedures;
- Communicating customer requests to Sales, Marketing and Development teams to improve and align product and service messaging with trending customer expectations;
- Writing demo scripts to support our demo environment with assistance from SME’s as needed; and
- Documenting lessons learned, recommending product enhancements, and executing actions to produce process improvement and attain higher success rates.

- Extensive knowledge and understanding of enterprise or facilities, clinical or lab business, software, industry and related operations and services;
- Expert knowledge of office productivity, word-processing and various other computer-based or online website proposal software;
- Writing, copy-editing, spelling, grammar, punctuation and style skills;
- Creative flare and keen eye for graphical and long document design details;
- Professional and interpersonal communication skills for collaboration with diverse internal and external resources and groups;
- Excellent organization and time management skills to oversee simultaneously occurring projects, tasks and deadlines;
- Ability to thrive and adapt creatively and successfully to constant change in a fast-paced and team-oriented sales environment;
- Willingness to work additional or flexible work hours as needed, both independently and in collaboration with remote resources to meet deadlines in different time zones;
- Ability to comprehend, communicate and cohesively organize complex business, technical and legal concepts, information and materials;
- Working knowledge of RFP process and standard business practices and procedures.
- Ability to travel as needed for company and job-related functions, events and training;
- Strong experience or specialized training in writing, editing, design or publishing; and
- Strong experience producing RFI, RFP or RFQ responses for high-value contracts.

- Bachelor’s degree in general business, communications, marketing, publishing, computer science or equivalent work-related experience;
- Project management experience;
- Proficiency in Microsoft Word, Excel, PowerPoint, desktop publishing and graphic design skills;
- Experience working for technology (EAM, CMMS, IWMS) or Software as a Service (SaaS) company;
- Public Sector (State, Local, Higher Education, Federal) experience;
- Superior written and verbal communication skills, with a keen eye for detail; and
- Experience working with contracts, policy or legal.
