POSITION TITLE: Administrative Assistant
REPORTS TO: HR Admin Director
LOCATION: Everett, WA
HOURS: Part-time (28 hours a week)
Basic Responsibilities:
Working under the supervision of the HR Admin Director, the Administrative Assistant facilitates and oversees office procedures and other tasks as assigned by the HR Admin Director.
Position Summary:
Under the direct supervision of the HR Admin Director, this position provides administrative and secretarial support for the HR & Administration Department. In addition to typing, filing, scheduling, performs duties such as record keeping, coordination of meetings and conferences, obtaining supplies, working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize diversified workload, recommends changes in office practices or procedures.
Duties and Responsibilities:
Oversee general office coordination to include:
Office calendar to coordinate workflow and meetings.
Maintain confidentiality in all aspects of CU and employee information.
Interact with employees, members, and vendors.
Mail distribution when warranted.
Prepare responses to correspondence containing routine inquiries.
File and retrieve organizational documents, records and reports.
Create and modify documents such as invoices, reports, and letters by using Microsoft office; word, excel and/or other presentation software.
Set up and coordinate meetings and conferences.
Prepare agendas and make arrangements for Board, Committee or other meetings.
Interact with the organization’s Board of Directors.
Make travel arrangements for staff and volunteers.
Collect and maintain inventory of office equipment and supplies.
Research, price and purchase office furniture, equipment and supplies.
Support staff in assigned project‐based work.
Assists in special events, such as community activities and the annual meeting.
Other duties as assigned by HR Admin Director.
Knowledge, Skills, and Abilities:
Computer literate. Microsoft Office Suite and Adobe.
Good writing, analytical and problem‐solving skills.
Knowledge of principles and practices of organization, planning, records management and general administration.
Ability to communicate effectively.
Bilingual preferred English/Spanish.
Ability to operate standard office equipment.
Ability to follow oral and written instructions.
Minimum Qualifications:
At least two (2) years working in general office experience.
Must be computer literate.
Knowledge of principles and practices of basic office management and organization.
Ability to work well either alone or as part of a team.
