FLEET ADMINISTRATOR
The Fleet Administrator will play a critical role in supporting the entire fleet team. This position will require competent computer skills including MS Office suite of products, strong customer service skills, organizational skills, and the ability to multitask in a fast-paced setting as well as proficiency in Excel, the ability to run reports and format spreadsheets. Must be able to work independently, be self-motivated and work as part of a team while maintaining effective working relationships. The following responsibilities are intended to describe the general nature and scope of work being performed by this position. This is not a complete listing and other duties will be assigned based on the needs of our team and departments growth.
Core responsibilities include, but are not limited to:
- Direct supportive role to all fleet team members.
- Maintaining, tracking, and reporting on a variety of programs.
- Assist in maintaining a Vehicle Work Order tracking system.
- Follow up timely on required information and forms via telephone, email, and direct contact.
- Administrative, clerical and systems support of all fleet related activities within the fleet department. Some examples listed below.
- Toolbox Talks
- Assist with Drive Compliance Files and tracking.
- Dielectric, ANSI, DOT, Registration, and inspection tracking
- Distribution of updated vehicle paperwork
- Data entry of inventory for HUT and IFTA filing
- Work order entry, reporting and tracking.
- Recording team meeting minutes
- Perform other duties as assigned by Fleet Management members.
Requirements:
- Minimum of 5 years of relevant work experience.
- Effective communication skills to interact with people at all levels of the organization.
- Strength in initiative-taking, and a demonstrated record in proactively identifying improvement opportunities and acting upon them.
- Ability to prioritize multiple tasks demanding of immediate attention, and to juggle multiple, on-going, concurrent responsibilities.
- Ability to work efficiently and maximize productivity.
General Qualifications:
- The ability to represent O’Connell Electric Company in a professional manner, at all times.
- The ability to communicate clearly, professionally and at various levels of all personnel.
- The ability to work independently and be a initiative-taker.
- The ability to read, interpret and support all applicable DOT Regulations.
- Must have strong computer skills, including full use and understanding of Microsoft Office.
- Proficient with standard office equipment i.e., computer, phones, scanner, fax, and copier.
- Proficient knowledge in researching and maneuvering around Internet sites.
