Responsibilities The position of Administrative Assistant reporting to the Head of Corporate Accounting will be based in downtown Los Angeles and will provide administrative support to other select heads of sub departments within Finance and their respective teams within the Finance department. Responsibilities include: Maintain complex calendars, schedule meetings and conference calls and manage meeting logistics; Receive, prioritize, and route calls, emails, and mail to the appropriate personnel Arrange and prepare travel arrangements/itineraries Prepare expense reports and reconcile against Amex statements Validate invoices Manage logistics of meetings including, but not limited to, booking the conference room, ordering food and set up, assembling data/materials and updating and distributing the agenda Work independently on special projects under general direction of management, including coordination of finance training initiative meetings, walkthrough meetings, department offsite meetings, special events and inter-departmental meetings Assist with recruiting processes by coordinating and scheduling interviews with candidates and the team Support new employee onboarding; and Perform other duties as needed, including faxing, copying, logging parking validations and ordering supplies. Qualifications Minimum 5 years of experience supporting several executives within a financial services firm Proven ability to manage tasks with competing priorities and deadlines, independently determining order of priority and self-initiating other value-added tasks; and Strong proficiency in Microsoft Word, Excel, PowerPoint, and Outlook. Personal Attributes Excellent interpersonal, verbal, and written communication skills Outstanding organizational skills with strong attention-to-detail Self-starter with a proven ability to take initiative and prioritize work; and Team-oriented with strong integrity and professionalism.
