What You Will Do

As our Administrative Assistant, HR and Operations this role could best be defined as a jack-of-all-trades, master of none. We’re looking for an entry-level professional who is interested in learning about the human resources, business administration, and financial functions of a large, multinational organization. This person would report directly to the Vice President of Human Resources, North America, and assist with daily tasks associated to HR, finance, business administration, and other functions, as needed.

Day-to-day responsibilities of the Executive/Administrative Assistant may include:

  • Providing assistance with and facilitating the human resource processes for all business locations in the US and Canada
  • Coordinating and scheduling recruiting interviews; managing schedules for office leadership, as needed
  • Meeting and greeting candidates in a professional and friendly manner acting as the face of the company
  • Coordinating office events and meetings; assisting domestic and international employees with travel plans and scheduling
  • Assisting the recruiting team with the distribution of job postings and the ongoing improvement of the candidate experience
  • Managing recruitment campaigns when required
  • Undertaking various weekly/monthly tasks such as Welcome To HR, onboarding  process, and sending the welcome emails to all new employees
  • Clerical duties, to include making photocopies, mailing, scanning and emailing documents, filing, ordering supplies, coordinating office cleanliness
  • Liaising with the finance team on accounts receivable tasks
  • Providing assistance with creating presentations, developing recruiting and HR collateral, building reports, and other administrative and reporting tasks supporting other business units

To qualify for this position, you must meet the following requirements:

  • Bachelor's degree in human resources, business, or related field and/or equivalent experience
  • At least one year of experience in an office setting; experience working in human resources, recruiting, or as a personal assistant preferred
  • Experience with Workday and/or Greenhouse software preferred
  • Experience with Microsoft Office (Word, Excel and PowerPoint) and Google products required
  • Experience working for a high-growth company; able to anticipate and accommodate rapid change
  • Confidence to work under own initiative with a proactive approach
  • Strong attention to detail is a key requirement
  • Ability to be flexible and multitask with strong organisation and planning skills
  • Demonstrable customer service experience working with a diverse range of customer profiles
  • Experience working with and supporting employees at all levels of the organization, including executive leadership preferred
