Job Summary:
The Administrative Clerical Case Manager will play a crucial role in supporting the administrative operations of the senior center. The Administrative Clerical Case Manager will provide comprehensive assistance to the Senior Center Director and ensure the smooth functioning of the office. Administrative Clerical Case Manager responsibilities will range from clerical tasks to managing communications, client case management, and assisting with event coordination. The ideal candidate will be organized, detail oriented, and possess excellent communication skills.
Responsibilities:
▪ Administrative Duties: Serve as the primary point of contact for inquiries and communications, both in-person and via phone. Respond to queries or redirect them to the appropriate person. Assist with registration processes, intake procedures, and participant inquiries. Ensure the safety and well-being of all senior center participants by maintaining a secure and accessible environment. Monitor activities to prevent accidents or incidents and promptly address any safety concerns or emergencies.
▪ Event Coordination: Support the planning and execution of events, programs, and workshops by coordinating logistics, preparing materials, and assisting with participant registration. Assist in scheduling and managing facility bookings, including room setup, equipment arrangements, and catering services. Assist in arranging transportation for senior center activities if necessary.
▪ Office Management: Maintain office supplies inventory and anticipate needed supplies. Ensure the office is organized and tidy, and equipment is functioning properly. Coordinate with the Director and IT support for any technical issues.
▪ Record Keeping: Maintain accurate and up-to-date records of meetings, agendas, minutes, and other relevant documents. Ensure confidential information is handled securely and professionally. ▪ Community Outreach: Participate in community outreach efforts by distributing information about the senior center's programs and services. Attend relevant meetings and events to promote the center's activities.

Qualifications:
▪ High school diploma or equivalent (additional education or training in office administration is a plus).
▪ Proven experience as an office assistant, administrative assistant, or in a similar role. ▪ Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications.
▪ Excellent organizational and time management skills.
▪ Strong written and verbal communication skills.
▪ Attention to detail and accuracy in handling administrative tasks.
▪ Ability to maintain confidentiality and handle sensitive information appropriately. ▪ Ability to multitask and prioritize tasks effectively.
▪ Friendly, professional, and compassionate demeanor when interacting with seniors and their families.
▪ Knowledge of senior services and programs is desirable.
▪ First aid and CPR certification, or willingness to obtain certification.
▪ Ability to work collaboratively as part of a team and independently when necessary.

Pay: $17.00 - $18.00 per hour
