Summary/Objective
Office Assistant provides general office support with a variety of accounting administrative activities and related tasks. This position will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as supporting the Finance and Accounting team with general Accounting tasks.

Receptionist Duties- Supports site maintenance and interacts with property management company when issues arise.
- Oversee café to ensure cleanliness and proper stocking of coffee, supplies, etc.
- Answers telephones and directs the caller to the appropriate associate. Handles general inquiries when applicable.
- Greets and directs visitors to the company.
- Assists with setup for customer visits and events.
- Receives, sorts, and forwards incoming mail. Maintains and routes publications.
- Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
- Assists in the ordering, receiving, stocking and distribution of office supplies. Maintains logins and coding for office supply national account.

Accounts Payable Duties:
- Ensures vendor invoices are coded to the correct GL accounts.
- Acts as backup for AP tasks when needed.

Accounts Receivable Duties:
- Deposits cash receipts to the bank daily.
- Applies payments daily to accounting system.
- Scans check copies and remittances for electronic storage.
- Other duties as assigned.
Minimum Qualifications
Education and Experience
- High school diploma or equivalent (GED).
- 6 months to 1 year of relevant experience and/or training, or equivalent combination of education and experience.
Skills and Background
- Proficient in Microsoft Office Suite (Word/Excel/Powerpoint)
- Strong organizational skills.
- Excellent verbal and written communication skills. Possess exceptional interpersonal communication skills.
- Self-motivated with the ability to work independently on assigned tasks as well as to accept direction on given assignments.
- Strong attention to detail.
Language Requirements
- Ability to hear, read and comprehend, write, and communicate.
