Job Summary:
Liaison for Oklahoma Arthritis Center responsible for tracking, coordination and communication of patient referrals from outside providers. Responsible to handle all third party requests and provide relevant information and data. Information may include medical documentation, physician orders and patient demographics. Accurately and effectively schedule and coordinate all patient appointments to outside referrals. Answer incoming telephone calls in a prompt, courteous and professional manner. Act as point of contact for all patient and outside physician office questions.
Essential Functions:
- Responsible for accepting and appropriately assisting all calls and inquiries associated with outside referrals.
- Verify insurance coverage and insurance plan acceptance at outside physician offices. Discuss out of network benefits or self-pay options as needed.
- Promptly answer phones in a friendly, courteous and professional manner.
- Coordinate all insurance pre-certification and/or authorization tasks as needed.
- Obtain practice policies, regulations, and services, such as office hours, payment expectations, etc. for patients referred to outside providers.
- Answer (or direct to the appropriate staff) patient’s questions or inquiries.
- Responsible for entering all referral information into Practice Management system when received.
- Responsible for following up with referring physician offices to obtain when patient has been scheduled and seen.
- Use customer service principles and techniques to deal with patients calmly and pleasantly.
- Research and resolve scheduling conflicts.
- Ensure patient confidentiality and follow HIPAA guidelines.
- Promote a professional image by adhering to the established guidelines of Oklahoma Arthritis Center.
- Check and resolve assigned tasks in EHR program.

- Demonstrate sensible and efficient use of equipment and supplies by limiting waste, spoilage or damage.
Qualifications:
- A High School Diploma or GED required.
- A combination of one to two years of directly related training and/or experience is typically required for carrying out the responsibilities for this job.
- Computer experience, especially with Practice Management Systems and/or an Electronic Health Record system, preferred.

Physical Requirements:
- Ability to work effectively in a fast paced environment.
- Physical ability to sit, perform data entry and view computer screen for long periods at a time.

- May require lifting up to 50 pounds or more.
Travel Requirements:
Travel may be required.
Scheduled Working Hours:
Normal work hours are 8:00 a.m. to 5:00 p.m., Monday through Thursday and 8:00 a.m. to 1:00 p.m. on Fridays. Hours may vary depending upon the needs of the position, department, and clinic.
