POSITION SUMMARY
The Administrative Assistant performs all administrative and clerical duties that allow for smooth operation of the Office of the Registrar and Academic Operations. This position is also responsible for providing information about the policies and procedures of the Office of the Registrar interacting with students, faculty, staff, outside vendors, and the community.
ESSENTIAL DUTIES & RESPONSIBILITIES
1. Serve as front desk receptionist to greet and direct visitors, assist with appropriate paperwork, and resolve routine administrative issues related to office functions using established university policies and procedures.
2. Accept, screen, and route telephone calls concerning activities and operations of the office.
3. Maintain inventory of office supplies in work area.
4. Complete address change requests.
5. Process daily mail.
6. Schedule meetings and manage calendars for the Dean and Directors within Academic Operations and Office of the Registrar.
7. Process requisitions for the Dean and Directors within Academic Operations and Office of the Registrar.
8. Provide support for transcript and diploma ordering processes.
9. File and communicate decisions of Academic Standards Committee; maintain log of decisions made by the committee.
10. Enter student data information (change of address, FERPA consent information, process all other data entry forms as assigned including add/drop registration, etc.)
11. Coordinate the digital imaging of academic records and documents. Identify processing problems and assists with the resolution. Make recommendations for changes to procedures.
12. Process requests for student grade records, course descriptions, and other information in accordance with privacy laws and university policies.
13. File documents as appropriate, physical and electronic.
14. Assist office staff with projects as needed.
15. Perform miscellaneous job-related duties as assigned.
KNOWLEDGE, SKILLS & ABILITIES REQUIRED

2. Candidate should have good proficiency in keyboarding and general clerical skills, along with strong computer capabilities and a willingness to learn new applications. Also should possess above-average communication skills.
3. Ability to efficiently operate a personal computer and associated software (Outlook, Word, Excel, etc.). Experience with 4. Ellucian Colleague or other student information system preferred.
5. Ability to communicate effectively and appropriately.
6. Ability to maintain confidentiality of records and information.
7. Ability to interact in an effective and appropriate manner with diverse populations, the University community and the public.
8. Ability to detect and correct grammatical and spelling errors in written correspondence.
9. Ability to maintain files accurately, in paper and in software programs.
10. Ability to handle multiple tasks simultaneously.
EDUCATION
High School diploma required. Associated degree or higher preferred. Three years’ work experience in a clerical position preferred.
WORK ENVIRONMENT
12-month, full-time non-exempt staff member. Office located on the main floor of the historic building, Burke Administration. Standard office environment, long exposure to computer display, no major sources of discomfort.
