Accounts Payable Specialist

Under the direction of the Chief Financial Officer (CFO) or as designated by CFO, the Accounts Payable Specialist is part of a team that is responsible for processing invoices, requests for payment, and expense reports received for payment in an accurate, efficient, and timely manner. All duties performed must be in accordance with GAAP, established policies and procedures, as well as Federal and State requirements.

Job Duties:                       

  1. Open and date stamp invoices received in the daily mail in preparation for the next step in processing for payment.
  2. Access AP emails, print and date stamp invoices in preparation for the next step in processing for payment.
  3. Prepare invoices for payment processing, including matching invoices to receiving documents and purchase orders.
  4. Properly code invoices in preparation for entry into the financial management system to reflect payments by fund source, department, sub department, and location "branch".
  5. Enter all transactions into accounts payable journal of the financial management system.
  6. After checks have been printed, prepare for mailing by matching any remittance advice provided and prepare payment for distribution.   
  7. Respond to inquiries related to invoices and payments either from vendors or from Omni staff in a timely manner.
  8. Reconcile vendor statements to ensure all invoices have been received and paid timely and accurately.  Research any discrepancies and provide resolution of discrepancies.
  9. Add new vendors in the financial management system after proper approval has been provided in accordance to policies and procedures.
  10. Assist with internal and external audit requests.
  11. Print accounts payable aging reports on a regular basis and validate balance to trail balance.  Analyze reports for accuracy and validate information provided in reports.
  12. Generate monthly expense accruals by analyzing regular monthly payments to ensure accurate expense reporting.
  13. Other duties as required or directed by the immediate supervisor, manager, or CFO. 

 

Additional Duties

  1. HIPAA compliance – responsible for maintaining current knowledge of and in compliance with all H.I.P.A.A. regulations and requirements. Treats all member information confidential.
  2. Compliance – Ensure compliance with all local, state and federal regulations.
  3. QA/QI – Participate in QA/QI activities and contribute toward the overall performance improvement of the organization.
  4. IT – Required to learn and use the financial management system, MIP and its components, as required by the job functions and highlighted in the Policies and Procedures.

Qualifications, Education and Experience:

  1. Associate degree in Business Administration or Accounting from accredited college with minimum of three years of experience or high school diploma with minimum of five years of qualified work experience.
  2. Good problem solving and time management skills.
  3. Self-starter who is able to work effectively independently or with others.
  4. Knowledge of methods, practices and terminology used in financial and statistical record keeping.
  5. Highly organized and detail oriented.
  6. Strong numeracy and analytical skills. 
  7. High level of accuracy is required.
  8. Proficient in Microsoft Office, particularly excel.
  9. Excellent written and verbal communication skills.
  10. Ability to use an accounting management system.
  11. Excellent customer service with external customers and OFH staff is required.
  12. Promotes and supports OFH mission statement.
  13. Ability to relate to the public regardless of ethnic, religious and economic status. 

 

All employees will participate in Patient Centered Health Home Model at Omni Family Health.
