Position:
We are looking a Sales Coordinator that will be independently responsible for a diverse and complex range of administrative duties related to the management of the National Sales Organization. Responsibilities will include support to the Head of Sales, Head of Commercial Operations and the Director of Commercial Training for travel arrangements, meeting and event planning, sales meeting presentation preparation. Responsibilities will also include supporting the field sales team by coordinating requests for internal documents and approvals. The individual will possess the ability to manage highly confidential and sensitive information while exhibiting discretion. The Sales Coordinator must display good judgment with all levels of personnel interactions; must be proactive; dependable and have the ability to handle the pressure of a fast-paced sales organization.
This position is based in Waltham, MA
Key responsibilities include, but are not limited to:
● Responsible for all administrative duties in support of the Company’s sales organization
● Assist in the onboarding of field sales new hires
● Prepare, modify, and publish multiple presentations and other communications using Word, Excel, PowerPoint and related web-based programs.
● Maintain updated curriculum database and training records for the field sales team.
● Research and book both domestic and international travel arrangements.
● Prepare expense reports as needed for selected members of the internal sales management team.
● Assist in the scheduling of new hire orientation and classes for field sales hires.
● Handle logistics for training activities including venues and equipment.
● Assist in managing the commercial learning management system.
● Coordinate all aspects of the internal sales management team’s schedule, maintaining calendars and contact lists as requested.
● Prepare and organize pre-meeting and post-meeting materials and reports as needed.
● Facilitate conference calls and web-based meetings ensuring communication with participants regarding scheduling.
Ideal Experience:
● BS/BA is preferred
● Must have 5+ years of administrative experience, with at least 3 years’ experience supporting high-level executives.
● Must have advanced knowledge of Microsoft Word, Excel, Outlook, and PowerPoint.
● Position requires exceptional communication skills, both written and oral, and the ability to represent the Executive in a professional and responsible manner
● Must have the ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high degree of professionalism and confidentiality
● Must be self-directed and work to achieve objectives with little oversight
● Expert in multi-tasking, organizing, and prioritizing is critical.
● Strong detail-orientation and decision-making ability.
● Strong computer skills, including all MS Office applications
