Overview
The Air Purchasing Specialist is responsible for planning and negotiating inventory acquisition of airline transportation for group movements. Responsibilities also include providing customer service for registration and airline ticketing, exceeding client, and individual attendee expectations. The Air Purchasing Specialist will also manage financial and hourly budgets for T&E programs.
Scope of Work
- Calculates airfare for group transportation proposals using client geographic information and a national average system when client information is not available. Emphasis placed on the quality of transportation plan, particularly meeting established departure and arrival time parameters, maximum plane change and stops limitations, and negotiation of lowest airfares. An air analysis of all scheduled flight service many be required to determine total seat inventory availability for risk management or accommodation of large groups.
- Ensures, once a program is sold, that all conditions of the air quotation are fulfilled. Requests and secures all pertinent information and contracts required to ensure accurate pricing for program operation, including block space seats or charters if needed.
- Negotiates and secures all charter vendor contracts and coordinates scheduling, special amenities, and meals of charter operation.
- Act as Air Lead on assigned programs which includes answering 800# phone calls and responding to email messages from program travelers within required SLA
- Display up-to-date knowledge of Cvent and Apollo GDS, including Profiles, Scripts, Galileo Groups and Queue maintenance
- Manage attendee registrations by updating Cvent with requested changes, adding detailed notes as needed, and managing roommate pairings as well as registration system charges, changes, etc.
- Book and ticket both domestic and complex international airline routings that comply with specific program requirements and individual traveler’s needs, utilizing scheduled air, blocked space, charters, discount contracts, and private fares
- Advise and collect credit card information due for personal travel by attendees, buy-ins and activities.
- Consult with attendee and book pre/post travel extensions as requested
- Partnering with Customer Xperience Coordinators, Event Managers, Purchasing & Design, and Air Purchasing to ensure adherence to all pertinent program information
- Exchange and refund airline tickets as required
- Responsible for all PreTrip mailing documents as it relates to air travel, i.e., ViewTrips
- Creation of Arrival/Departure Manifest and, if needed, report analysis for loaders, greeters, and riders
- Perform other duties as needed
