Job Description:
This role reports to the Controller and is responsible for managing and maintaining all Accounts Receivable and Accounts Payable processes for OSBI. Personnel management and peer collaboration duties will be designated by the Controller as well. The Accounting Manager must have the ability to complete projects independently and maintain records in 100% audit-ready order at all times. The Accounting Manager should also be prepared to cross-train and occasionally support Payroll processing as well.
Qualifications:
- Associates or bachelor’s degree in accounting strongly preferred, but not required.
- 1-3 years previous accounting experience required. Accounts-Receivable and Accounts-Payable experience preferred.
- 1-2 years of previous payroll experience preferred.
- Strong knowledge with MS Office (Excel) and QuickBooks required.
- Experience with cloud-based storage (BOX) preferred.
- Working knowledge of Financial Statements and general accounting concepts preferred.
- Prior experience with financial due diligence or audits strongly preferred.
- Ability to work well under pressure, maintain deadlines, and work independently as well as in a team environment
- Pro-actively problem-solve and seek ongoing opportunities to improve accounting processes and staff performance.
- Hybrid Position: eligible for 50% work-from-home, 50% in-office at our Surprise location.
Responsibilities:
- Invoicing. Create monthly invoices for member services in QuickBooks. Collect information from all departments and email monthly invoices to members/parents/guardians by the 15th of every month for Arizona and California.
- Prepaid Services: Record cash/check payments from members for OSBI services in Excel spreadsheets. Members are invoiced at the end of the month for unpaid services. Entries must be done with complete accuracy.
- AR Payments: Record incoming payments promptly and accurately.
- Accounts Payable. Ability to work in a cloud-based AP system and independently manage all AP processing start-to-finish. Currently we are 90% paperless and working toward electronic payments for all vendors. Maintain consistent accuracy.
- Credit Card Expense Reports: Create and distribute credit card reports for OSBI cardholders monthly. Ability to communicate effectively with OSBI staff to collect reports and make accurate journal entries into QuickBooks. Process will be changing in 2022: be prepared to lead a QuickBooks-based online expense processing solution org-wide.
- Payroll: Cross-train with the Director of Payroll Operations and develop the capability to fully and independently process payroll runs in the Director’s absence.
Customer Service:
- Provide excellent customer service by delivering quality and timely (within 24 hours) information when requested by parents, vendors, colleagues, supervisors, staff, auditors, and other stakeholders to further OSBI mission, vision, and core values and goals.
- Project a pleasant, helpful, professional, knowledgeable, and capable image consistent with the One Step Beyond mission in public interactions.
- Consider the welfare, growth, and development of program members as a top priority in all organizational and program decision making, planning, and development.
- Utilize appropriate tone and tact with all member-family communications, projecting a clear feeling of gratitude, support, and kind understanding. Utilize similar tone and tact with A/P account representatives.
Leadership and Team Collaboration:
- Always ensure for reporting staff’s high-level performance and job satisfaction.
- Work well with accounting team and others on staff to accomplish financial and OSBI goals.
