Position Summary:
The primary focus of the Transplant Administrator (TA) is to work with the transplant centers, surgeons, and staff within local, regional, and occasionally, national transplant programs. This role will actively foster an organizational culture that is based on collaboration, support, process improvement, and constructive feedback whileproviding input as needed into organizational policy development. The TA requires an advanced level of expertise and overall understanding of organ, eye, and tissue donation/transplantation process. The TA will be responsible for representing OneLegacy by offering support to enhance transplant center relationships, creating and implementing effective strategies to optimize organs for recovery and transplantation, and provide education regarding CMS, UNOS, AOPO and ASTS requirements.
The TA will oversee the numerous aspects of regulatory, clinical, and administrative activities of transplant center programs and relationships. The TA will work closely with the OneLegacy leadership team to ensure that seamless comprehensive customer service is provided to the transplant centers. The TA participates in strategic development, quality improvement, clinical staff team meetings, leadership meetings, and represents OneLegacy internally and externally, as needed.
The TA is also responsible to oversee, coordinate, and implement research related projects within the scope of OneLegacy’s mission and in accordance with established policies and protocols.
Duties & Responsibilities:
Essential Job Functions:
- Works as a liaison between the transplant center’s coordinators, surgeons/physicians, administration, and other health care service providers. Establishes and maintains effective customer relationships by providing a high level of customer service through timely and ongoing communication, presence, and visibility. Serves as the first point of contact for all non-active donor case transplant communications, complaints, transplant surgeons’ comments and OneLegacy staff related to the transplant and allocation program. Takes the initiative to respond, resolve and follow up with transplant center coordinators surgeons, and hospital staff customer service issues in a timely manner.
- Develops, implements, and evaluates individualized strategic plans for assigned transplant centers in accordance with organizational goals to ensure a consistent approach. Develops and executes growth strategies working closely with transplant centers and VPCO to integrate services, develop targeted strategies and coordination of services through OneLegacy’s DSA.
- Fosters collaboration and communication while providing ongoing support, consultation, donor follow up and education to the transplant centers’ surgeons and staff to ensure that all aspects of the donation process are understood, supported and practiced/implemented.
- Strategically assesses and proactively responds to individual customer needs in quality assurance, policy development, and all aspects of donor related requests.
- Oversees the orientation and education programs for transplant professionals and manages surgeons’ code of conduct and credentialing process.
Skills and Abilities:
- Ability to work a flexible schedule.
- Must have thorough understanding of the nationwide system of organ procurement and distribution, and up-to-date knowledge of current trends, nursing practices and research related to cardiothoracic transplant.
- Capable of developing business plans to support a multi-facet operation.
- Requires excellent verbal and written communication skills to communicate effectively with all levels of management; strong presentation skills and interpersonal skills.

Occasionally required to travel by personal auto or air for meeting sites and other locations.
Work Hours:
Exempt employees shall be paid an established salary on a bi-weekly basis and are expected to fulfill the duties of their position regardless of hours worked. The workweek for full-time exempt employees is normally considered to be 40 hours; however, greater emphasis is placed on meeting the responsibilities assigned to the position than on working a specified number of hours. Exempt employees are not eligible to receive overtime compensation. Must be available evenings, holidays, and weekends as required. The Transplant Administrator is required to assume 24-hour responsibility in rotation with other department staff.
Education:
Bachelor of Science degree in Nursing is required; Master of Science in Nursing is preferred, OR Master’s degree in Healthcare.
Experience:
Administrative/management experience with at least five (5) years minimum in a health-related field; previous experience in organ procurement; specifically thoracic and abdominal organs and/or transplantation, preferred. Requires five (5) years of experience in a similar role, preferably with experience in a multi-organ transplant center.
Certification/License:
OneLegacy requires employees to maintain a current California driver’s license and current vehicle insurance. Please refer to OneLegacy’s Policy HR108 - Licensure and Certification for insurance coverage requirements.
Equipment:
Reliable automotive transportation is required.
